Position Summary

Under the direction and supervision of the Senior Director, the Program Administrative Assistant (PAA) will provide essential administrative support, including secretarial duties, and assist in organizing and managing various program activities. This role requires discretion, independent judgment, and attention to detail to ensure the smooth operation and success of the program initiatives.

The PAA will also support the Community Health and Wellness Programs, including the African American Holistic Wellness Program, Silver Plus Program, and Holistic Wellness for Active Older Adults Program, working closely with the Senior Director and Program Coordinators. The Community Health and Wellness Program is focused on reducing health disparities, promoting physical and behavioral wellness, alleviating social isolation, and improving overall well-being in San Francisco through holistic approaches to chronic disease prevention, health promotion, social engagement, and mental health support.

The Bayview Hunters Point YMCA plays a key role in addressing significant community challenges, such as chronic disease prevention, substance use, social isolation among older adults, educational achievement gaps, and providing enriching after-school programs for youth.

Job Responsibilities

Confidentiality and Data Management

Exercise discretion and independent judgment when handling confidential and sensitive information related to program leadership and staff.
Maintain and update multiple computer databases for reports, attendance records, and program-related data.
Organize and manage files, correspondence, and essential program documentation.

Administrative and Financial Support

Oversee program invoicing and ensure accurate processing of financial transactions.
Manage purchase reconciliations and maintain financial records for program expenses.
Collect, compile, and analyze data to prepare reports, charts, and presentations.

Meeting and Documentation Coordination

Organize and attend program staff and community meetings to ensure smooth operations.
Record, produce, and maintain minutes from staff and community meetings for documentation and follow-up.
Maintain program binders and ensure all materials are updated and accessible.
Update and manage the program’s organizational chart to reflect current staff roles and structure.

Program and Event Logistics

Coordinate and order business supplies, office materials, and program-related resources to support staff needs.
Assist in planning and organizing community events, ensuring smooth execution and engagement.
Support program workshops and support group sessions by setting up spaces and coordinating food supplies.

Technical Proficiency and Attention to Detail

Quickly learn and effectively utilize database software and other relevant digital tools.
Maintain a high level of accuracy and attention to detail in all administrative tasks and program operations.

Work Environment & Physical Demands

The Program Administrative Assistant operates in a professional office setting with frequent interaction in community-based environments. The role requires working both independently and collaboratively with staff, program participants, and community partners. Occasional travel within the local area may be required to attend meetings or support program events. Work may involve extended periods of sitting at a desk, using a computer, and handling administrative tasks. The position also requires flexibility in schedule, including some evening commitments to support program needs.

The Program Administrative Assistant position primarily involves desk-based tasks, including prolonged periods of sitting, typing, and working on a computer. Occasional standing, walking, and lifting of materials, such as office supplies or event-related items up to 50 pounds, may be required. The ability to set up and break down materials for meetings, workshops, and community events is also necessary.
