Responsibilities:
To effectively drive down Training Services costs by ensuring crew qualifications are maintained within regulatory compliance. Facilitate interdepartmental and FAA involvement with the Training Operations & Services Department. Support all areas of Training Operations & Services and management teams through electronic and voice communications. Such support shall include yet not limited to data analysis & entry, qualification maintenance and reports.

Accurately manage and update pilot and flight attendant records using CrewQual and MINT systems.
Ensure compliance with FAA and airline-specific regulatory requirements for training and qualification records.
Drive down Training Services budget though proper qualification maintenance and regulatory compliance.
Track trends to identify and mitigate risks of current processes and methods. Ensure standard processes and procedures are consistently maintained.
Maintain a high level of knowledge of the Federal Aviation Regulations (FARs), crewmember contracts, training manuals and Company policies and procedures.
Ensure department meets contractual and regulatory compliance.
Handle high volumes of data entry with precision under time-sensitive conditions.
Resolve discrepancies in records by coordinating with training departments and crew members.
Collaborate with training coordinators, supervisors, and crew members to maintain up-to-date qualifications.
Provide timely responses to inquiries regarding certification statuses or record updates.
Correspond and report as required to inform teams, departments and crew of the status of forthcoming expiration dates of medical certificates, temporary certificates and passports with advance notification.
Coordinate with Technical Publications to maintain and update departmental Procedures Manual.
Assist in scheduling and tracking of instructors’ schedules, trainee schedules.
Aid IT in maintaining the Company’s approved electronic software with proper administration, code implementation, software testing, and general troubleshooting.
Monitor expiration dates for certifications, licenses, and training, ensuring no lapses occur.
Generate reports on compliance metrics and provide them to management as needed.
Ensure all training data is entered into approved digital record keeping system and verify accuracy
Prepare new hire training files for training classes.
Data entry of all training records into our electronic tracking systems.
Collect and maintain all paperwork for permanent records and tracking upon completion of training program, audit paper records for accuracy prior to entry per approved electronic record keeping system.
Serves as on-call personnel for the Training Department required to answer the on-call phone and respond to and resolve after-hours issues.
Support team members by sharing knowledge of CrewQual and MINT systems to improve overall efficiency.
Assist in on-boarding new hires by ensuring their records are complete and compliant.
Provide training records that are officially requested by other airlines through the Pilot Records Database (PRD).
Provide copies of training records requested by crew members.
May perform other responsibilities as assigned. Responsibilities and duties may change when circumstances dictate. (e.g. emergencies change in workload, rush jobs or technical developments.)
Qualifications:

Education

Associate’s degree or equivalent experience

Experience

One to three (1-3) years’ experience
Specialized Skills & Competencies
Organizational Skills: Strong ability to manage multiple training schedules and resources.
Accuracy Assessment: Ability to manage accurate documentation of training sessions and compliance requirements. Must be able to determine the accuracy of data received for input.
Communication Skills: Clear and professional communication with employees, instructors, and department heads.
Problem-Solving Skills: Ability to troubleshoot and resolve scheduling issues or conflicts quickly.
Familiarity with Aviation Industry Regulations: Knowledge of aviation training standards and regulatory requirements is essential.
Experience with Scheduling Software: Proficiency with scheduling systems or other software used in training management is preferred.
Time Management: Ability to efficiently manage time and resources to ensure timely delivery of training programs.
Keystroke Competency: Must have basic typing skills while ensuring data accuracy.
Structured Analysis: Must possess the ability to create simple models for data tracking and reporting.
Testing: Must have the ability to test the accuracy of tracking and data entry tools
End User Support: Must possess the ability to understand user-related issues and resolve them in a team environment.
Travel
Domestic & International travel under 10% of time

Telework Capacity
Hybrid/Onsite with 3 days in office in Dania Beach, FL and 2 days remote.
