Principal Administrative Assistant
Job Description
Position: Principal Administrative Assistant
FLSA Status: Non-Exempt
Reports to: Principals
Purpose: Under general supervision, to perform a wide variety of technology tasks and execute complex and responsible clerical work of more than average difficulty in an office of a school.
Major Duties and Responsibilities:
Acts as administrative assistant to UA Principals.
Receives callers in person and over the telephone, answering questions regarding school matters or scheduling appointments with Principals.
Receives office visitors in person or over the telephone.
Answers questions concerning the school activities or refers persons to another source of information.
Provides information and assistance to staff regarding services provided by the school
Operates copiers, computers and school communication equipment
Performs responsible clerical work with accuracy and speed
Deals effectively with a wide variety of personalities and situations
Manages schedules and calendars for Principals as requested.
Handles travel and PD arrangements as requested.
Maintains minutes and /or documentation for meetings and appointments as requested.
Help coordinate field trips and other school related events.
Additional Expectations:
Perform related work as required.
Considerable knowledge of grammar, spelling, and punctuation.
Considerable knowledge of modern office practices and procedures.
General knowledge of the rules, regulations, procedures, and functions of the office to which assigned
Ability to deal with people in a tactful and effective manner and to use judgment and discretion in giving out or withholding confidential information.
Ability to perform assignments on the basis of general outlines or directions without specific instructions as to details and to perform continuing assignments independently.
Ability to type material of any degree of difficulty at an average speed and to take and transcribe diction of any degree of difficulty.
Ability to communicate effectively both orally and in writing
Ability to reason, make judgments, and maintain effective working relationships with others.
Ability to utilize positive human relation skills with all staff.
Skills in operating a computer with word processing, spreadsheet, and desktop publishing applications.
Knowledge of office practices and procedures.
Ability to compile and summarize information.
Ability to resolve problem situations with sound judgment.
Ability to demonstrate proper telephone etiquette.
Ability to maintain confidentiality in matters relating to the school.
Ability to exercise independent judgment and initiative in completing work assignments.
Knowledge of business letter writing and memos.
Ability to compose correspondences independently.
Ability to work in the absence of supervision.
Ability to establish and maintain cooperative working relationships with those contacted in the course of work.

Desired Training and Hands-On experience
High school diploma and five years experience in secretarial functions, or an equivalent combination of training and experience.
Ability to navigate and utilize computer tools like Google Docs, Google Sheets and Google Drive
Knowledge of Microsoft Outlook, Excel, Word and Powerpoint
Minimum Qualifications or Standards required to perform essential job functions:
Physical Requirements: Position requires exerting up to 10 pounds of force occasionally and/or up to 20 pounds of force as frequently as needed to move objects.
Interpersonal Communication: Requires the ability to speak and/or signal people to convey or exchange information. This includes giving instructions, assignments or directions to parents, students, and staff.
Intelligence: Requires the ability to apply common sense understanding to carry out instructions furnished in written, oral or diagrammatic form.
Verbal Aptitude: Requires the ability to record and deliver information, to explain procedures, to follow written and oral instructions. You must be able to communicate effectively and efficiently in Standard English.
Numerical Aptitude: Requires the ability to add, subtract, multiply and divide.
Motor Coordination: Requires the ability to coordinate eyes and hands to use keyboard.
Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. You must be adaptable top performing under minimal to moderate levels of stress.
Physical Communication: Requires the ability to talk, write and hear.
Assessment: Performance of this job will be assessed annually in accordance with provisions of the Board’s policy on assessment of administrative personnel.
Terms of Employment: Salary and work year as established by the Board.
