Summary

The Administrative Development Associate is a key support partner for the development team of The Shea Center. This position will specifically encompass support for our various campaigns and events along with generation of revenue and administrative procedures.

Qualifications

Excellent computer skills with the MS Office Suite, PowerPoint, and a Customer Relation Management System
Must have exceptional organization skills
Demonstrates grace under pressure and enjoys a fast-paced environment
Bachelor’s degree preferred
3-5 years’ experience in a support role for a nonprofit or corporate environment preferred
Willing to commit to The Shea Center’s Core Behaviors expected of all staff members

Responsibilities

1. Support for all Shea Center fundraising campaigns (Example: Drive to Ride, Stand with Shea)

2. Work with vendors to secure incentives for the campaign

3. Oversee ordering of printed materials as needed and maintain supply of Shea Center information packets

4. Large volume of data entry for donations and campaign support documentation as needed

5. Implement a spreadsheet for tracking key information and follow up during the campaign

6. Execute logistics to plan for and assist with a large volume of donor correspondence of thank you calls, campaign related outreach, and proof reading, printing and mailing or emailing of donor correspondence

7. On-site work alongside staff and volunteer teams during campaign events, meetings and activities

8. Lead for ordering, tracking, organizing and distribution of campaign apparel, recognition gifts and giveaway items

9. Attend any trainings required for the position

10. Attend all department and all-staff meetings

11. Other duties as assigned

Event Support

1. For all Shea Center events (Example: Gala, BBQ, Cocktails by the Corral, Underwriting, Drive to Ride, Stand with Shea)

2. Collaborate with development team to help reach annual goals

3. Serve as an integral part of supporting the key staff and committee members

4. Data entry of sponsorships, contact information, guest names, event related guest details such as seating and meal choices, event sales into Event Management Software

5. Attendance at all events

6. Attend all event committee meetings and document meeting notes

7. Support auction for events including inventory, photography and organization

8. Maintain event guest RSVP lists and document guest attendance, notes, contact updates and follow up in donor database as needed

9. Assistance with large volume of event data entry of cash and in-kind donations

10. Assistance with proof reading, printing, scanning and mailing or emailing of donor thank you letters

11. Scan records of donation thank you letters and donation back up documents

12. Generate donor and event database reports as needed

13. Maintain and update event guest and sponsor notebooks

14. Maintain availability of event print materials for distribution and storage

Administration

1. Support the development team

2. Become well-versed in Salesforce to help support the development activities of The Shea Center

3. Assist with answering phones and fielding general information requests

4. Assist with meeting and event set up and tear down as needed

5. Always observe donor privacy and confidentiality. Assist with donor cultivation mailings of solicitation, thank you letters, recognition cards, certificates, photographs, recognition gifts etc.

6. Provide facility tours to community organizations, donors, guests when needed

7. Manage thank you letters as well as donor recognition cards for birthdays and special occasions

Physical Requirements

1. Many positions at The Shea Center are very physical. We are located on an 8-acre site. Employees of The Shea Center often have prolonged periods of walking and/or sitting at a desk depending on their position.

2. Able to lift up to 30 pounds

Job Type: Full-time

Pay: $58,550.00 – $84,475.00 per year
