We are looking for a highly organized and proactive Office Administrative Assistantto oversee the logistics and ordering operations within our dynamic office environment. The ideal candidate will have experience in the engineering industry and a passion for optimizing operational processes.

Position Overview:

We are looking for a friendly, efficient, flexible and hard-working Office Administrative Assistant to join the Firing Industries team. In this role you will have a focus on logistics and ordering, you will play a critical role in ensuring smooth day-to-day operations, database management, ordering equipment, arrange transportation and managing inventory. You will work closely with our engineering team, suppliers, and contractors to ensure timely and cost-effective delivery of materials and services.

Key Responsibilities:

Manage and maintain accurate inventory levels for all materials and equipment used in engineering projects.

Gate keeper for the company, answer the phone, collect mail, equipment ordering databank.

Support the accounting team with invoicing, purchase order tracking, and budgeting for materials.

Oversee the ordering and procurement process, ensuring timely purchasing of supplies, tools, and parts.

Liaise with suppliers, vendors, and contractors to negotiate pricing and delivery schedules.

Monitor logistics to ensure efficient and on-time delivery of materials and equipment to various job sites.

Handle and resolve any issues related to product returns, discrepancies, or delays in shipping.

Maintain records of all orders, deliveries, and logistical processes in a systematic manner.

Collaborate with the engineering and operations teams to ensure that all logistics and ordering procedures align with project requirements and timelines.

Qualifications:

3+ years of experience in office management, logistics, or procurement within the engineering or construction industry preferred. College degree required.

Strong understanding of inventory management.

Proficient in using office management software, ERP systems, and procurement tools.

Excellent communication and negotiation skills, with the ability to work effectively with vendors, suppliers, and internal teams.

Detail-oriented with exceptional organizational and time-management skills.

Quick learner with the ability to solve problems efficiently while maintaining a positive working environment.

English, spoken and written and French, spoken and written (preferred)
