TITLE: Facilities Clerk

QUALIFICATIONS: 1. High School Diploma or equivalent required.
2. Training or experience with office machines (i.e. computer, copy and fax machines, etc.)
3. Must be able to work well under pressure in a fast paced environment.
4. Other qualifications as may be deemed essential for successful performance in the position.

REPORTS TO: Director of Facilities

JOB GOAL: To assure the smooth and efficient operation of the office to provide all students with a physical learning environment that is safe, clean, attractive, and smooth functioning.

PERFORMANCE RESPONSIBILITIES:

1. Accepts and prioritizes incoming maintenance calls and provides a written record of each to be returned to the initiating location.

2. Monitors Honeywell XBS Energy Management System and makes adjustments as needed to ensure the comfort of students and other building occupants.

3. Initiates requisition and purchase order process, maintaining files on incomplete and completed orders. Interacts with vendors, placing orders and ensuring accurate and timely delivery. Submits all Facilities completed Purchase Orders (with invoices and packing lists attached) to bookkeeping.

4. Accepts and verifies incoming supply shipments.

5. Maintains department records of scheduled vacations and compensatory time.

6. Accepts calls from associates reporting out sick and calls in substitutes as necessary.

7. Sets up and maintains department project, vendor, and correspondence file.

8. Performs other such duties as may reasonably be assigned by the Director of Facilities.

9. Inputs bi-weekly payroll entries for Facilities staff into Munis System. Collects all associated paperwork (timesheets, absent request forms, etc.) and submits to Payroll Coordinator.

10. Assists with data entry of Regular and CIP budgets.

11. Orders uniforms for Maintenance and Custodial staff. Records uniform expenditures of each employee.

12. Maintains professional competence through in-service education activities provided by the district and self-selected professional growth activities.

TERMS OF EMPLOYMENT: Full-time. Twelve months. Salary and other terms and conditions of employment shall be governed by negotiated contract.

EVALUATION: Performance in this position will be evaluated by the Facilities Director in accordance with School Board policy.
