Job Title: Administrative Specialist – Operations
Location: Winter Haven – On Site
Department: Operations / Administration
Reports To: Operations Manager

Job Summary:
We are seeking a proactive and detail-oriented Administrative Specialist to join our dynamic team in the equipment services industry. This role is pivotal in supporting daily administrative operations with a strong emphasis on SAP production order reconciliation, ensuring the accuracy and integrity of operational data, information governance and enabling strategic decision-making. The ideal candidate will also provide essential support through ad-hoc reporting and process documentation to enable informed decision-making and operational efficiency.

Key Responsibilities:
Administrative & Cross-functional Support

Independently manage and prioritize multiple administrative and analytical tasks with minimal supervision.
Provide general administrative support to operations, procurement, and finance departments.
Document and update standard operating procedures related to data management and reporting.
Assist in audits and compliance checks by preparing relevant documentation and reports.
Identify and resolve discrepancies related to inventory, labor, and material usage.
Collaborate with production, inventory, and finance teams to maintain data integrity across transactions.

Information Governance & Master Data Management

Ensure compliance with company standards for information governance and data handling procedures.
Maintain and oversee master data in SAP including items, bill of materials (BOM), business partners, and price lists.
Support data quality initiatives by identifying gaps, duplications, or inaccuracies, and driving corrective actions.

Ad-hoc Reporting & Analysis

Generate and maintain operational and financial reports as needed to support management and project leads.
Provide insights into production trends, material usage, and other key performance metrics.
Assist with creating dashboards or spreadsheets to summarize and visualize data.

Qualifications:

High School diploma or equivalent
Minimum of 3 years of experience in an administrative, production support, or data management role, preferably in an equipment services or manufacturing environment.
Strong knowledge of SAP is required, particularly in production and inventory modules.
Proficiency in Microsoft Excel (VLOOKUP, pivot tables, etc.) and other Office applications.
Demonstrated ability to exercise independent judgment and make decisions on matters of significance.
Strong attention to detail and analytical mindset.
Excellent communication and organizational skills.
Ability to work independently and handle multiple tasks in a fast-paced environment.

Preferred Qualifications:

Background in supply chain, manufacturing, or equipment services.
Experience with data governance frameworks and master data best practices.
Familiarity with BI tools (e.g., Power BI, SAP Crystal Reports) is a plus.
