What We Need

As an Office & Administrative Coordinator, you’ll manage day-to-day office ops, support HR and coordinate team logistics, all while keeping things organized and on point. This role’s perfect for someone with multitasking skills who’s ready to grow and take on more in HR.

Your Responsibilities

✔️ Office Administration (Latvia & remote support for Lithuania and UK)

Oversee day-to-day office operations, supplies, and equipment.

Serve as the main point of contact for office-related inquiries.

Handle office budgets, expenses, and vendor relationships.

Coordinate company events (e.g., Town Halls, trainings, conferences).

Manage and coordinate parcels and various deliveries between the offices, vendors, partners etc.

✔️ Facilities Management (Latvia & remote support for Lithuania)

Manage building relationships and resolve office maintenance issues.

Ensure the office is clean, organized, and well-stocked.

Handle space planning, seating arrangements, and desk allocation.

✔️ Team Support & Coordination (Group level)

Assist with employee onboarding/offboarding and operational tasks.

Support and coordinate employee “right to work” matters i.e. work permits, visa requests and renewals.

Help develop and maintain office policies and procedures.

Support various departments.

✔️ HR & Compliance Support (Group level)

Assist HR with personnel records and employee engagement.

Coordinate health, safety, and emergency procedures, ensuring compliance.

Manage employee insurance tenders and processes i.e. health, travel, etc.

Your Profile

Last 3 years in active office management, administration, or HR support roles.

Bachelor’s degree or higher.

Fluency in English and Latvian.

Strong organizational, multitasking, and time-management skills.

Excellent written and verbal communication abilities.

Proficient in MS Office, Google Workspace, HRIS, and ERP systems.

Strong problem-solving skills with a proactive approach.

Experience managing budgets, vendors, and office facilities.

Knowledge of health, safety, and employment law.

Ability to adapt to evolving office needs and business priorities.

Experience in process improvement and drafting procedures.

Desire to grow into HR Operations or HR Business Partner roles.
