Job Overview

We are seeking a detail-oriented and proactive Accounting and Inventory Coordinator to join our team. This hybrid role is responsible for managing accounts payable and receivable processes, maintaining accurate financial records, and overseeing inventory tracking for both finished goods and materials. The ideal candidate has experience working with QuickBooks and Katana, thrives in a fast-paced environment, and can collaborate across departments to keep operations running smoothly.

Duties

Process and record accounts payable: collect invoices from vendors, match to purchase orders, and submit payments in QuickBooks
Manage accounts receivable: monitor open invoices, follow up with customers for payment, and update customer information in the system
Collaborate with owners and external bookkeepers to ensure all transactions are properly recorded
Work with the sales team to confirm accurate invoicing and assist in collecting payments from customers
Manage inventory of finished products and raw materials using Katana software
Accurately record inventory movements and maintain up-to-date records in the books
Assist with inventory forecasting and create purchase orders for production materials
Ensure all financial and inventory records are organized, current, and compliant with internal standards

Requirements

2+ years of experience in bookkeeping, inventory coordination, or accounting support
Proficiency with QuickBooks and Katana (required)
Strong attention to detail and organization skills
Experience working cross-functionally with sales and operations teams
Ability to manage multiple priorities and deadlines efficiently
Excellent communication skills (verbal and written)
Proactive approach to solving problems and improving processes
