We’re looking for someone that can support the Executive Administrator in day-to-day operational tasks, manage the office operations, and create wonderful experiences for employees and visitors alike!

Essential Job Functions Include:

Reception:

Oversee front desk during business hours

Greet/check in visitors

Answer incoming phone calls

Ensure front desk cleanliness

Manage front desk security (including emergency procedures)

Be a friendly face! Become familiar with all employees, their teams, seating arrangements, etc

Office Management:

Assistance on Executive team on-site/off-site meeting coordination

Maintain office supplies as needed

Execute on ordering procedures for snacks, meals and onsite events

Own/operate company food budget

Gauge employee satisfaction of snacks, kitchen, etc.

Work with the Executive Assistant on budget tracking and forecasted expenses

Maintain office seating chart in coordination with People Experience team

Work with building management and vendors to ensure cleanliness of the office and the quality of the office furniture

Coordinate with IT team on building security access for employees, vendors & guests

Employee Experience Partnering:

Assist Executive Administrator with the execution of the gifting experience including welfare, investor gifts, etc

Assist with internal and external partners to execute on day to day operational tasks

*Example: partner with the fragrance team to supply employees with monthly fragrance drops!

Event Assisting

You will support the Executive Administrator in planning and executing on company wide events:

Identify event vendors and work within the provided budget

Plan and coordinate:

Catered meals

Specifications and quantities of goods to order

Scheduling space and facilities

Communicating menu information

Ensure smooth execution of events by inspecting finished arrangements and collaborating with appropriate stakeholders

Manage and oversee all company events
