POSITION OVERVIEW
This is a full-time position in our office reporting to our General Manager. For this position, you’ll need to live in or near Chico, CA and be willing to work in our co-working space on the south side of town. Typical hours for this position are 7am to 3:30pm, Monday-Friday. On occasion there may be a need to work a few additional hours during our heavy season during the summer months.
MISSION
The mission of the Office Administrator is to coordinate the daily operations of our office. The ideal candidate will ensure the office runs smoothly, support team productivity and provide a healthy working environment in the office setting.
The office Administrator will be responsible for a wide range of administrative and clerical tasks, coordinating office procedures, and supporting leadership/administrative staff as needed.
The Office Administrator will be a key asset to the General Manager by anticipating needs and allowing him to develop relationships with customer and staff, as well as maintain clear systems that will streamline and expand our production abilities.
While repetitive tasks are certainly part of this position, the tasks assigned can vary from week to week based on the administrative staff and/or General Manager’s needs and the needs of the business. The most important responsibility of the Office Administrator is to ensure that administrative tasks and projects are completed with a high level of efficiency, confidentiality, accuracy, flexibility, and positivity.
RESPONSIBILITIES
The Office Manager will have the following primary responsibilities:
Complex calendar management and scheduling on behalf of the administrative staff, General Manager and in coordination with our dispatch system.
Varying personal and professional administrative tasks including, but not limited to, booking appointments, vendor communication, research projects, coordinating travel, and ordering gifts/flowers, etc.
Light project management and regularly updated financial reports, bid tracking and sales communication.
Weekly expense reporting on behalf of the General Manager.
Communicating on the General Manager’s behalf both internally and externally.
Meeting management including preparing agendas, printing financial reports, taking notes, distributing action items.
Email management on behalf of the General Manager.
Running errands, checking and distributing mail, making bank deposits and attending in person meetings multiple times per week.
PROFICIENCIES
Financial Knowledge: A ground level understanding of accounting terminology and ability to provide informed administrative support.
Quality Communication: The Office Administrator must be an excellent communicator, in both written and oral form. This includes proficiency in spelling, grammar, and punctuation. This also includes being able to take a large amount of information and summarize it quickly both in writing and orally on a regular basis. The Office Administrator must also be able to track communication (and be very responsive) across multiple channels without losing any details. Those channels could include in-person meetings, virtual video calls, text messages and/or emails.
High Level of Discretion: Since our Office Administrator will regularly work with confidential information, discretion and sensitivity regarding all areas of business including staffing and financial information is a must.
Team Player: In addition to working directly with the General Manager, the Office Administrator will also work with the billing, human resource and dispatch departments. They’ll need to be able to collaborate and communicate well with these team members, maintaining a can-do spirit and not complaining, making excuses, or gossiping.

This means you know how to stay ahead of your leader, clearing the path for him to make his greatest contribution.
Affinity for Technology: Our business runs on Google Suite services as the primary platform. Additionally we have trade specific software that include Service Fusion, Co-Construct, and Z-inspector. Office Administrator will be a technologically savvy Google Suite user and will not be intimidated by learning new technology.
REQUIREMENTS:
Education: Associates Degree, preferred
Experience: Proven experience as an Office Administrator, Administrative Assistant or similar role.
Physical: Ability to bend, reach, and lift boxes and office supplies up to 30 lbs.

Pay: Starting at $23 per hour. Will adjust accordingly depending on experience.
