JOB SUMMARY

Serve pastors, staff, Governance Board, and congregants in administrative, secretarial, and public engagement/community-relations capacity. Supervise volunteer ministry partners. This role is central to the life of the church—often being the initial point of contact (in person, by phone or email) for members, visitors, and the community, and ensuring a welcoming and supportive environment.

ESSENTIAL RESPONSIBILITIES & TASKS

Ensure the smooth running of the church office on a day-to-day basis. Responsibilities include:

Oversee the church office Monday – Friday; welcome walk-ins; handle phone calls, general church voice mail, and Info@ and Office@ email inquiries.
Schedule Phone Auto, church voice mail, and “Church Closed” recordings.
Keep the Welcome Center and lobby, mailroom/donations room, office workroom, and staff kitchen neat and organized.
Recruit, schedule, and train weekday Welcome Center volunteers to ensure coverage during office hours. Maintain communication with volunteers to be sure all shifts are covered.
Provide staff members with administrative support and office equipment/supply needs.
Input info and maintain Church Database New People Manager (see attached description), including all aspects of membership and assimilation: enter new names and other data, send welcome emails to “Just Adds” and first-time givers, and work with staff to help get newcomers connected.
Assist Senior Pastor: access, review/read, and maintain emails; coordinate, schedule, and maintain appointments calendar; handle additional responsibilities as requested.
Assist Associate Pastor: provide support for our guests/newcomers’ assimilation process.
Ensure the upkeep of office equipment: printer/copier, postage meter, laminator, folding machine, etc.
Distribute incoming mail distribution and post outgoing mail.
Manage offering-envelope account (for re-orders)
Manage income receivables/contributions/weekly bank deposits. Manage and reconcile online giving and tracking of pledges. Manage volunteer to post weekly offering and mailed in income. Communicate with financial contributors regarding offerings and giving statements when needed.
Review and edit Fund Management in TouchPoint database (w/ Business Manager & Comm. Director)
Serve as Membership Secretary: Maintain membership records and transfer letters; record baptisms, marriages, births, and deaths (w/ input from staff)
Memorial Fund coordinator; receivables and letters of acknowledgement
Order/purchase office supplies and prepare the annual office budget.
Send sympathy and care cards to congregants.
Assist Senior Staff, Board, and Communications Director with sending out congregation-wide communications, either via email or USPS.
Proofread weekly newsletter, website, and congregation-wide emails.
Reserve county park site for the annual Easter Sunrise Service.
Schedule and coordinate annual Board retreat.

KNOWLEDGE, SKILLS & ABILITIES

4-year college degree preferred.
Previous administrative experience desirable.
Understanding of office organization and operations.
Excellent computer skills with proficiency in all Microsoft programs: Word, Excel, PowerPoint, One Drive, Share Point, Teams, etc.
Computer and technical office skills are imperative.
Excellent organizational and time-management skills.
Good oral and written communication skills, including English vocabulary, spelling, grammar, and punctuation.
Detail-oriented
Adaptable and flexible
Self-starter who takes initiative and works independently, without direct supervision.
Genuine desire to serve the body of Christ at Oakdale.

ADDITIONAL RESPONSIBILITIES

Perform other duties assigned by the senior staff.
Reliable Transportation to make bank deposits and run occasional errands.
This position requires criminal justice fingerprint clearance and background and criminal record check.
Most of the work in this position is done within an office environment requiring minimal physical activity. Some lifting of objects less than 40 pounds, stretching, bending squatting, sitting, typing, and other activities related to office work will be required.

Job Type: Full-time

Pay: $40,000.00 – $55,000.00 per year
