Key Responsibilities
Team Support:
Act as a key member of the administrative team, supporting New York City office staff and leadership.
Maintain accurate records, ensure data on SharePoint is up-to-date, and assist with documentation management.
Office Support:
Provide day-to-day support for staff, ensuring a smooth office experience.
Manage office operations, including but not limited to ordering supplies, overseeing desk arrangements, and conference room support.
Monitor and replenish grocery inventory to maintain a functional and stocked office environment.
Work and partner with the building’s security team to manage badge access, ensuring proper security protocols and maintaining accurate records.
Event and Meeting Coordination:
Assist in planning and executing office events and large meetings, including arranging venues, catering, and technology.
Ensure conference rooms are set up with necessary equipment and maintained in an organized state.
Collaboration:
Work closely with other office administrators across the organization to standardize procedures and share best practices.
Collaborate with IT leadership to develop communication strategies and monitor user feedback.
Other Responsibilities:
Be a dependable resource for projects beyond primary duties as needed.
Adapt to unexpected changes in schedules, plans, or workloads with flexibility and professionalism.
Represent the organization with a high level of professionalism in all interactions.
Qualifications:
A minimum of 1–2 years of administrative experience, ideally in a professional office setting supporting senior executives.
Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
Proficiency in Microsoft Office Suite (Outlook, SharePoint, Excel, PowerPoint, and Word) and enterprise platforms like Workday.
Excellent written and verbal communication skills.
Ability to handle sensitive information with confidentiality.
Flexible, resourceful, and proactive, with a professional demeanor under pressure.
