Highly organized, detail-oriented, and proactive Office Administrator to manage daily administrative operations and ensure the smooth running of our office. The ideal candidate will handle a variety of tasks including managing office supplies, supporting staff, organising meetings, and maintaining records
Requirements
Key Responsibilities/Skills:
Greet and assist visitors, answer and direct phone calls
Organise and schedule meetings, appointments, and events
Maintain filing systems (physical and digital) and ensure records are up to date
Manage office supplies inventory and place orders when necessary
Coordinate office maintenance and liaise with vendors or service providers
Prepare reports, presentations, and correspondence as needed
Assist in onboarding new employees and maintaining HR records
Support bookkeeping and budgeting procedures (e.g., invoicing, expense tracking)
Ensure compliance with office policies and health/safety protocols
Provide administrative support to senior staff and departments as required
Ensure accurate and timely tracking of all company credit card expenditures, reconciling receipts with statements, and categorising expenses according to departmental budgets. Responsible for raising internal purchase orders (IPOs) for event-related costs, liaising with finance to ensure compliance with internal procurement processes. Maintain detailed records for audit purposes and assist with monthly budget reporting and variance analysis.
Proven experience as an Office Administrator, Office Assistant, or relevant role
Proficient in MS Office (Word, Excel, Outlook, PowerPoint); knowledge of office management systems and procedures
Excellent written and verbal communication skills
Strong organizational and time-management skills
Ability to work independently and multitask
Develop and nurture effective relationships with key internal and external stakeholders, including clients, suppliers, sponsors, venues, and cross-functional teams.
Qualifications:
Experience in business admin or related field preferred
Experience as office administrator desirable
