JOB TITLE: Administrative Assistant

REPORTING TO: Office Manager

Summary:
The Administrative Assistant works closely with the Office Manager to support all administrative and customer service duties in the office. The role in integral to the organization and efficiency of the Youngblood Builders office.
Primary Responsibilities:
· Answer and direct phone calls to appropriate team members.
· Maintain current contact lists (vendors, contractors, clients, etc).
· Produce and distribute correspondence memos, letters, faxes, forms, and emails.
· Develop and maintain an accurate filing system (both electronically and manually).
· Maintain office inventory and order supplies as needed.
· Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies, verifying receipt of supplies.
· Submit employee reimbursements.
· Responsible for creating timecards and reviewing them with supervisors.
· Provide information by answering questions and request from employees, vendors, contractors, clients and prospective clients.
· Research and create presentations and client binders.
· Carry out basic administrative duties such as filing, typing, copying, binding, scanning, etc.
· Reply to email, telephone, or face-to-face enquiries in a timely and customer service focused manner.
Qualifications:
· Knowledge of office management systems and procedures.
· Working knowledge of office equipment (computer, fax machine, copy machine, phone, etc).
· Proficiency in MS Office suite with a mastery in Excel and Powerpoint.
· Must be at least 18 years of age.
· High school diploma.
· Experience working in an office setting.
Physical Requirements:
· Light work required. Exerting up to 20 pounds of force occasionally, and/or 10 pounds of force frequently or constantly to lift, carry, push pull or otherwise move objects.

· Ability to hand multiple projects/multi-task in an efficient and timely manner.
· Ability to handle sensitive information in a confidential manner.
· Demonstrates excellent time management skills and ability to prioritize work appropriately.

· Ability to work as part of a team as well as independently when required.
· Good knowledge of the English language.
