Office Administrator – Real Estate – Reading, MA
We are seeking candidates for an Office Administrator position with a highly successful real estate firm located in Reading, MA. This position will be responsible for all reception duties, greeting and directing guests, maintaining conference rooms, and DocuSign management. The ideal candidate will have 2-3+ years of administrative experience, preferably in the professional services industry.
This is a 3-4+ month contract position that will pay $25-33/hr (depending on experience) within a 40-hour work week. This position is required to be onsite 5 days per week.
Responsibilities:
Serve as the primary receptionist, professionally greeting and directing guests.
Manage DocuSign processes and maintain organized records.
Ensure reception, conference rooms, and kitchen areas remain presentable.
Schedule and manage conference room bookings and video conferencing.
Handle incoming mail distribution and outgoing package coordination.
Oversee client and guest meetings, including setup, catering, and cleanup.
Maintain office supplies, place orders as needed, and manage Amazon deliveries.
Coordinate building maintenance and repairs with engineers and external vendors.
Assist with new hire onboarding, including scheduling and technology setup.
Support planning and execution of firm, departmental, and client events.
Collaborate with the Administrative Services team for seamless office operations.
Qualifications:
Bachelor’s degree required
2-3+ years of administrative or receptionist experience within professional services
Proficiency in MS Word, Excel, PowerPoint and Outlook
Previous DocuSign experiene
CRM experience is a plus but not required
Ability to adapt and manage multiple tasks with shifting deadlines in a dynamic, fast-paced environment.
Demonstrates exceptional poise and professionalism in all interactions with clients, guests, and vendors
Able to work independently while also collaborating effectively within a team
