Job Description
The Office Administrator will be responsible for a variety of office tasks to keep our operations running smoothly and efficiently. This includes managing office communications, assisting with accounts payable, and ensuring that client billings are processed accurately and timely.
Your responsibilities will include:
Answer phones, greet guests, keep the office organized and tidy, receive shipments
Receive mail and disseminate accordingly
Enter vendor invoices and verify against purchase orders and material tickets sent in by field
Reconcile all credit accounts monthly, including expense reports and fuel receipts
Inputs billing invoices into Viewpoint.
Applies customer payments and researches and solves payment discrepancies
File all DOT and inspection paperwork from the field
Maintain vehicle inspection reminders and registrations
Maintain filling
Maintain office supplies and make orders
Maintain uniforms and make orders
Assist in coordination of beginning and end of season luncheons, and office Christmas party
Year- end file transitions and new file acquisitions
Assist in all directions of Project Manager and Director
Requirements
Minimum 5+ years of relevant experience in an office environment
Self-motivated and deadline-oriented
Demonstrates a strong sense of accountability
Excellent verbal and written communication abilities
Proficient in using MS Office applications
Detail oriented and ability to focus on work; accuracy and completeness driven
Preferred

Experience with Vista Viewpoint is preferred.
