Executive Assistant
Midway University seeks an Executive Assistant to the President to work in a future-focused, fast-paced, student-centered environment. Founded in 1847, Midway University provides a career-focused education grounded in the liberal arts to over 2000 students in traditional programs as well as undergraduate and graduate programs for working adults offered in-seat and online. The campus is in Midway, Kentucky and is 14 miles outside Lexington. Midway University has experienced significant enrollment growth since 2016 and has managed several construction and renovation projects without incurring new debt to sustain that growth.
The Executive Assistant provides administrative support to the President and the Office of the President. This includes arranging meetings with the Board of Trustees and managing Board records, working closely with University Vice Presidents and their staff, and interacting with donors, alumni, community members, parents, and students. In addition to providing executive support in anticipating and meeting the needs of the president as well as superior office management skills, the Executive Assistant uses discretion and judgment in responding to internal and external needs and requests. The Executive Assistant will quickly learn and work within a system that requires a high level of confidentiality and professionalism. Job duties will be in service to the University’s mission and strategic initiatives.
This position will:
Act as a liaison between the President, Board of Trustees, and senior management.
Organize, manage, and direct daily operations in the President’s Office.
Prioritize and route incoming electronic, postal and telephone correspondence.
Initiate preparation of responses to correspondence.
Schedule appointments with students, faculty, staff, community members, donors, and businesses.
Coordinate numerous forums, events, luncheons, and other meetings.
Organize agendas, prepare background materials, and arrange meetings that the President attends, both internally and externally.
Transcribe minutes and prepare agenda items to be submitted to the Board of Trustees and maintain electronic office files relating to all matters that go through the President’s Office.
Qualifications required for this position are:
Bachelor’s degree, with 5-10 years of experience at an Executive level
Must possess excellent oral and written communication skills
Excellent interpersonal skills to include experience interacting directly and diplomatically with a wide and complex range of audiences including faculty, staff, students, parents, trustees, donors and alumni, and other contacts within the higher education community
Impeccable attention to detail
The ability to effectively communicate the University’s mission and its policies to a wide range of audiences
Ability to multi-task and independently prioritize competing tasks and deadlines
Proficiency in the use of office software suites, online research resources, and data management.
Some evening hours may be required.
