Job Summary
The Preston County Commission is seeking a highly organized and detail-oriented Assistant Administrator to support our administrative team. The ideal candidate will possess strong clerical skills and a commitment to delivering exceptional customer service. This role involves managing various administrative tasks, ensuring smooth operations, and contributing to a positive work environment. Responsibilities:

· Assists the county administrator, IT director, and facilities supervisor with administrative and scheduling tasks

· Receives and directs public

· Answers and screens phone calls

· Keeps meeting room schedule

· Works with the IT Director on information on commission website

· Assists the Administrator on the agenda for meetings and helps posts agendas for public review

· Prepares Holiday List for county commission approval

· Keeps the record of appointees made by county commission to committees and boards

· Coordinator for Purchasing Card program for county offices, getting assistance from the Secretary with this task

· Works independently and with Secretary to disperse mail to proper departments

· Assists the Administrator and the Secretary in the coding of routine bills

· Handles scanning, mailing, photocopying, and faxing of important documents

· Prepares memos and emails

· Assists with travel arrangements for commissioners and commission employees

· Maintains filing system-electronic and paper, with a move to more electronic than paper

· Assists with probate by stamping “Will” book

· Prepares personnel time sheets for payroll*

· Maintains records for personnel vacation, sick leave, and drug testing

· Works, in consultation with the Administrator, on a series of special projects

· Performs general clerical duties

· Performs other duties as required

Skills

· Knowledge of computer software packages such as Excel and Word and basic website administration

· Knowledge of basic county office operations

· Knowledge of general office machines

· Ability to have basic speaking, writing and reading skills

· Ability to alphabetize and type

· Ability to interact with employees, public and contractors

· Ability to compose and interpret written documents

Pay: $40,000.00 – $45,000.00 per year
