Position Overview:

We are seeking a detail-oriented and proactive Part-Time Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting the day-to-day operations of our property management business by handling administrative tasks, providing excellent customer service, and ensuring the smooth flow of office processes.

Responsibilities:

Answering Phone Calls:Professionally and courteously handle incoming calls from clients, tenants, and vendors. Direct calls to the appropriate team members or departments. Take and relay messages accurately and in a timely manner.

Data Entry: Enter and process bills, ensuring accuracy and completeness. Record and update payment information in systems. Maintain organized and up-to-date digital and physical filing systems.

Customer Service:Provide exceptional customer service to clients, tenants, and vendors. Address inquiries and resolve issues promptly and efficiently. Assist in coordinating communication between property owners and tenants.

Task Management:Manage and prioritize tasks to ensure deadlines are met. Assist in coordinating appointments, meetings, and property showings. Monitor and respond to emails in a timely manner.

Multitasking:Handle multiple responsibilities simultaneously, adapting to changing priorities. Work efficiently in a fast-paced environment while maintaining attention to detail.

Qualifications:

Strong customer service skills with a friendly and professional demeanor. Excellent organizational and multitasking abilities. Proficient in data entry and comfortable working with digital platforms. Strong communication skills, both verbal and written. Ability to work independently and as part of a collaborative team. Prior experience in property management or a related field is a plus. Prior bookkeeping experience preferred.

Working Hours:

This is a part-time position, approximately 20 hours per week. Specific work schedule to be discussed and agreed upon hiring.
