About the Role

We’re looking for a highly organized, tech-savvy Office Coordinator to manage communications, scheduling, class oversight, private events, and all other office operations. If you’re detail-oriented and good at customer service, this role is for you!

About POT

POT is the first BIPOC focused pottery studio in the US, with community initiatives and full class schedules at three locations in Los Angeles.

Schedule: Mon – Thurs, 9 AM – 4 PM | Fri, 10 AM – 2 PM

Start Date: ASAP

Key Responsibilities

Scheduling & Class Oversight

Manage staff scheduling, including finding subs
Ensure every class has a teacher assigned and proactively resolve any gaps
Prevent and resolve double bookings or scheduling errors through regular audits and communication
Review upcoming class calendar and report any slow-filling classes
Maintain up-to-date event rosters for both private parties and classes

Forms, Systems & Class Listings

Create and manage new classes
Create and manage forms as needed
Maintain and update product listings, website pages, and sales reports
Monitor and troubleshoot system errors

Communication Management

Handle customer and potential customer inquiries via email and phone with short, friendly, effective, and candid communication
Manage internal communications with members, office staff, studio staff, teachers, and guest artists

Private Events, Sales & Rentals

Coordinate private party bookings, sales, and CRM management
Conduct tours for potential private event rentals or sponsorships
Handle sales and logistics for filming and equipment rentals

Office & Operations

Maintain an organized and welcoming office space, including supplies and staff meeting logistics
Support executive tasks, meeting coordination, and email follow-ups
Responsible for shipping, billing, invoicing, contracts, and contractor management
Payroll management

CEO Executive Assistance

Executive Assistant to CEO on all operations and miscellaneous projects
Register meeting notes and action items for staff
Maintain calendars
Following up on emails
