Description:

The Executive Assistant is a trusted partner to the Chief Executive Officer, providing high-level administrative support to ensure the efficient operation of the executive office. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs and manage multiple priorities in a fast-paced, high-performance environment.

Requirements:

Calendar & Scheduling Management

Manage a dynamic, high-volume calendar for the CEO
Schedule internal and external meetings across multiple time zones
Anticipate scheduling conflicts and proactively resolve them
Protect CEO’s focus time

Executive Communications & Stakeholder Relations

Triage and respond to high-priority communications on behalf of the CEO
Draft professional correspondence, talking points, and board materials
Coordinate timely communication with board members, internal stakeholders, and external partners
Ensure alignment with strategic priorities and brand messaging

Travel Coordination

Arrange domestic and international travel
Submit and reconcile travel and business expenses

Meeting Preparation & Support

Draft agendas, take detailed notes, and track follow-ups for key meetings
Prepare materials, slide decks, and briefing documents for internal and external meetings
Organize catering and manage logistics for special meetings and leadership events

Executive Office Operations

Act as gatekeeper and liaison for the CEO
Monitor deadlines and ensure follow-through on priorities
Collaborate with other EAs and staff to ensure alignment on key initiatives

Project & Event Support

Coordinate special projects and executive offsites
Support internal communications and company-wide initiatives as needed

Social Media & External Communications

Draft social media content, posts, and talking points for the CEO’s public platforms
Align messaging with brand voice and strategic priorities
Coordinate with marketing or communications teams as needed

Education & Experience:

5–7 years of administrative or office management experience, with at least 3 years directly supporting C-suite executives.
Bachelor’s degree or equivalent work experience required.

Skills:

Excellent written and verbal communication
Ability to write, edit, and proofread professional correspondence on behalf of the CEO for internal and external messaging
Confident interacting with senior executives, board members, and clients
Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Comfortable with travel/expense platforms (e.g., Nexonia)
Ability to anticipate needs and adapt quickly to change
Outstanding ability to manage multiple priorities and tight deadlines
Impeccable attention to detail
Skilled in balancing urgent tasks with long-term planning
Proven ability to handle sensitive information with the highest level of confidentiality
Sound judgment in decision-making and problem-solving
Self-starter who works well independently and under pressure
Calm, composed, and resourceful in fast-paced environments
Positive, team-oriented attitude with strong interpersonal skills
