Brief Position Description:
The Office Administrator (OA) ensures that the office runs efficiently by managing administrative activities across all departments.

Minimum Qualifications & Experience:

Secondary school qualification and preferably a college or university certificate or a degree in a life science or business related field.

At least 1 year of experience within the pharmaceutical industry and/or at least 1 year of experience in an administrative role.

Excellent verbal and written English communication skills.

Responsibilities:

Maintaining the office space, furniture and fittings, and liaising with vendors to ensure that they are kept clean and in good repair. Maintaining adequate office stationery and pantry supplies.

Ensuring that the office IT equipment and systems are functioning effectively and liaising with the IT Department and local vendors to address deficiencies.

Providing administrative services to the Finance department, including banking and petty cash activities.

Providing administrative services to the Business Development department, including assistance with promotional materials, feasibility studies, budgets, and agreements.

Providing administrative support to the Clinical Operations department, including set-up and maintenance of project files, preparation of ethics and regulatory submissions, distribution and tracking of study information and supplies, and investigator meeting coordination.

Organising training sessions and other meetings (including room and equipment set-up, and preparation of training materials, invitations, logs, agendas, and minutes as required).

Providing administrative support to the Human Resources department, including advising on local policies and practices, preparing new employee welcome packs, and training of new staff.
