Summary: Responsible for being the first point of contact for clients, the public, and vendors. Provides administrative support to the agency and coordinates efforts to maintain facilities and grounds at three locations.
Bilingual abilities are a plus
Responsibilities:
Administrative Support:
Receive public in a friendly professional manner
Answer telephone calls and respond to emails from clients and the public and direct them to relevant staff
Understand various agency programs to direct inquiries
Use staff schedule to accurately relay information
Provide administrative assistance to management
Prepare communications, such as memos, emails, invoices, reports, and other correspondence
Manage and update organizational documents as needed
Create and share meeting minutes
Create and maintain filing systems, electronic and physical
Organize and maintain office supplies, including office technology, and track inventory
Receive donated items, organize, and maintain items in identified areas
Maintain, organize, and restock common client areas and workspaces
Comply with agency policies
Attend trainings and meetings
Other duties, as assigned, to further the mission of the agency
Facilities/Maintenance Support:
Work collaboratively with the Associate Director to support and track facilities and maintenance needs for all buildings
Secure, coordinate, and schedule cleaning company to keep the office clean and safe
Coordinate workflow of Facilities and Grounds staff
Research vendors, secure quotes, and act as primary contact for vendors
Qualifications:
Education and experience that may have been gained through college courses and relevant training, employment, or volunteer experience.
Proficiency in Microsoft Office platform
Excellent problem solving, communications and follow up skills
Use of positive communications and proactive conflict resolution
Ability to work with other agencies, systems, board and volunteers
Knowledge of counseling and social services
Ability to understand and incorporate the dynamics of domestic and sexual violence into work
Ability to serve as an ambassador for Susan B. Anthony Project
Participation in events, programs and other promotion of awareness and advocacy
Able to lift and move 25 pounds
Patience and a sense of humor
