Role Description

This is a full-time on-site role for an Office Administrator located in Dubai, United Arab Emirates. The Office Administrator will manage daily administrative tasks, maintain office equipment, coordinate communication within the office, provide excellent customer service, and oversee office administration duties. Responsibilities include scheduling appointments, handling correspondence, and organizing office operations and procedures to ensure organizational efficiency.

A highly skilled Office Administrator needed to manage comprehensive administrative duties with flexibility for occasional overtime and inter-emirate travel. This role requires exceptional organizational abilities and adaptability to support the company’s operational needs across multiple locations.

Key Responsibilities

Oversee general office operations, ensuring smooth day-to-day functioning

Manage complex scheduling for executives and coordinate cross-office meetings

Process and organize critical documentation, maintaining meticulous filing systems

Coordinate logistics for inter-emirate business operations, including scheduling and preparation

Serve as the primary liaison between offices across different emirates

Manage procurement of office supplies and maintain inventory across multiple locations

Provide administrative support for special projects and company initiatives

Coordinate travel arrangements for staff and visitors between emirates

Handle sensitive correspondence and communications

Support preparations for client meetings and presentations

Essential Requirements

Minimum 3 years of experience in administrative roles within a multi-location organization

Valid UAE driving license with proven experience navigating between emirates

Demonstrated flexibility with work hours, including availability for occasional overtime

Exceptional organizational and time management skills

Advanced proficiency in MS Office Suite and administrative management software

Strong written and verbal communication skills in English and Arabic

Detail-oriented with the ability to multitask effectively under pressure

Experience with document management and record-keeping systems

Proactive problem-solving abilities with minimal supervision

Additional Qualifications

Knowledge of UAE business protocols and practices

Experience with procurement and vendor management

Familiarity with scheduling and administrative software systems

Understanding of business etiquette across diverse cultural contexts

Work Conditions

Full-time position based at our main office with regular travel to satellite offices across emirates
