Skills:

· Proficient understanding of Medicare and Social Security regulations.

· Sound knowledge of Medicare terminology.

· Familiarity with insurance principles and concepts.

· Extensive experience using various computer programs including CRM, Excel, PowerPoint, Microsoft Calendar, Microsoft Word, Microsoft email, Ring Central, and Insurance carrier portals.

· Proficient typing and computer skills.

· Demonstrated ability to efficiently operate a multi-line company phone system for both inbound and outbound calls.

· Familiarity with operating printers and electronic fax systems.

· Physical capability to lift items weighing 5-10 lbs.

· Exceptionalcommunication skills, both verbal and written.

· Willingness and ability to undergo cross training.

· Bilingual:
Fluent in English and Spanish

The ideal candidate should also be flexible with hours and willing to work 2 Saturday’s a month during AEP, who would not also mind picking up hours as needed to meet staffing needs. Hourly wage depends on skills and qualifications.

Responsibilities:

· Ensure timely follow-up on missed calls, text messages, and emails.

· Handle and respond to inbound calls effectively utilizing Ring Central.

· Conduct outbound calls and meticulously document each outcome in the CRM system.

· Efficiently schedule appointments using the Microsoft calendar.

· Maintain and manage the scheduling calendar with proficiency.

· Reach out to clients scheduled for appointments in case a staff member is unavailable due to illness.

· Coordinate and resolve client complaints promptly.

· Ensure the reception area is kept clean and presentable.

· Contact clients who have not shown up for their appointments or are running late.

· Organize and schedule meetings between brokers and provider offices.

· Assist brokers by preparing the necessary materials for meetings.

· Utilize apps like Think Agent to send Scope of Appointments to relevant parties.

· Greet and welcome clients as they arrive and promptly inform the broker.

· Regularly check office inventory every two weeks.

· Follow up on pending applications within 2-3 days after submission.

· Thoroughly document all conversations with clients, whether in person or over the phone, in our CRM system.

· Create Excel spreadsheets as required.

· Develop Power Points for broker meetings with provider offices.

· Welcome walk-in clients, address their inquiries, and schedule or confirm appointments based on availability.

· Receive, sort, and distribute emails, faxes, and mail effectively and efficiently.
