We are looking for a highly organized, detail-oriented professional to join our team as a Venue Administrative Coordinator. This role will support the General Manager with administrative tasks, vendor and client coordination, and overall venue operations.

About the Role

As a Venue Administrative Coordinator, you will play a key role in keeping venue operations running smoothly. This position is ideal for someone highly organized, tech-savvy, and proactive, who enjoys handling logistics, assisting with client communication, and ensuring all administrative details are handled efficiently.

Key Responsibilities

Administrative & Operations Support

Assist the General Manager with daily administrative tasks and operational oversight.
Manage inbound communication via phone, text, and email, ensuring timely responses.
Maintain accurate records of vendor contracts, guest counts, and event details using Google Sheets.
Take detailed notes during meetings and assist in follow-ups.
Ensure all event-related documents are well-organized and up-to-date.

Event Coordination & Client Communication

Build and review detailed event timelines with brides to confirm all details.
Ensure brides have obtained event insurance and completed all necessary paperwork.
Send reminder emails regarding key deadlines, policies, and event logistics.
Coordinate with multiple vendors and clients, ensuring smooth scheduling and clear communication.

Problem-Solving & Customer Service

Address client concerns and resolve conflicts professionally and efficiently.
Maintain a customer-first approach, ensuring a positive and seamless experience for all clients.
Work closely with the General Manager to improve venue efficiency and operational systems.

What We’re Looking For

✅ Tech-Savvy & Highly Organized

Proficiency in Google Suite (Google Sheets, Docs, Calendar, etc.).
Experience with Calendly and AI tools (like ChatGPT) is a plus.

✅ Excellent Communication & Customer Service Skills

Strong written and verbal communication skills.
Ability to manage customer expectations and conflicts professionally.

✅ Detail-Oriented & Proactive

Strong organizational skills with the ability to juggle multiple tasks without missing details.
Able to anticipate challenges and implement solutions efficiently.

✅ Flexible & Team-Oriented

Willingness to adapt to the needs of a small business and take on different responsibilities as needed.
A team player who can work independently but also collaborate effectively.

Job Type: Contract

Pay: $20.00 – $25.00 per hour

Expected hours: 10 – 20 per week

Schedule:

Day shift
Evening shift
Night shift
Weekends as needed
