Job Summary
XEC is seeking a highly organized and detail-oriented Office Administrator to oversee the day-to-day administrative operations of our office. This role ensures the smooth running of our office and contributes to driving sustainable growth. The ideal candidate will be a proactive problem-solver with exceptional communication skills and meticulous attention to detail. Extremely high growth opportunities await this position.
Core Responsibilities
· Oversee general office operations, including managing office supplies, equipment, and vendor relationships
· Answer and direct phone calls, emails, and other correspondence
· Schedule meetings and appointments and manage calendars for senior staff
· Maintain and organize filing systems (physical and digital)
· Assist in the preparation of regularly scheduled reports
· Process invoices and manage petty cash and office budgets
· Support HR with the onboarding of new employees and maintaining personnel records
· Ensure compliance with company policies and administrative procedures
· Provide general support to visitors and act as the first point of contact for guests
· Coordinate office maintenance and repairs with relevant vendors or building management
Office Administrator Qualifications
· High school diploma or equivalent; associate or bachelor’s degree preferred
· Proven experience as an office administrator, office assistant, or relevant role
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment
· Excellent organizational and multitasking abilities
· Strong written and verbal communication skills
· Discretion with confidential information
· Ability to work independently and as part of a team
· Knowledge of administrative and clerical procedures
Education and Experience
· 2-4 years of experience in administrative, clerical, or office support role
· Previous experience in office coordination or office management is a plus
