Position Summary:
We are seeking a highly professional, polished, and motivated Office Administrator to support daily office operations and provide an exceptional front-facing experience for high-level clients and C-suite executives. This role requires a strong sense of urgency, excellent communication skills, and the ability to maintain a clean, organized, and well-stocked office environment.
Key Responsibilities:
Serve as the first point of contact for clients, executives, and guests; maintain a professional, welcoming presence at all times
Manage meeting room preparation, setup, and cleanup for executive and client meetings
Coordinate weekly grocery orders (snacks, fruit, beverages) and maintain kitchen cleanliness, especially after meetings
Order and manage office and pantry supplies; keep the stock room organized and well-stocked
Sort, distribute, and manage incoming and outgoing mail
Assist with general facilities management and support
Maintain a high standard of presentation and tidiness throughout all common areas
Collaborate closely with HR, executive assistants, and other departments to support office needs
Qualifications:
Prior experience in office administration, facilities coordination, or front office roles in a professional environment
Excellent interpersonal and communication skills
Strong organizational abilities and a high sense of urgency
Professional appearance and demeanor required; must be polished and articulate
Ability to work independently and take initiative in a fast-paced setting
Experience interfacing with executives or high-profile clientele a plus
Dress Code:
Men: Slacks and button-down shirts (no jeans)
Women: Blouses with skirts or slacks (professional attire)
