Job Summary/Objective
The Administrative Assistant provides a high level of administrative support to a Director or High School Principal within the District, ensuring optimal efficiency and effectiveness within their respective area.
Essential and Marginal Functions
Essential Functions/Duties
The essential functions include, but are not limited to the following:
Manage and maintain executive calendars, including scheduling appointments, meetings, and conferences.
Assist in organizing and coordinating meetings, including preparing agendas, taking minutes, and distributing relevant materials.
Handle incoming and outgoing communications, including emails, phone calls, and written correspondence.
Prepare and edit documents, reports, presentations, and other materials as needed. Conduct research, gather data, and compile information to support various projects or initiatives.
Perform general clerical duties, such as photocopying, filing, and organizing documents. Coordinate and maintain office supplies and equipment inventory, ordering supplies as needed.
Provide support in organizing company events and special projects.
Liaise with internal teams and external stakeholders to ensure effective communication and collaboration.
Maintain a high level of confidentiality and discretion while handling sensitive information.
Support department financial objectives, monitors budget, invoices and bills, issues purchase orders, manages inventory, coordinates with vendors and contractors, publish reports, ensures good recordkeeping to support departmental accountability and fiscal responsibility.
