Job Summary:

The Office Administration will ensure the office runs smoothly and efficiently

Job Responsibilities:

Administrative Duties

Manage and run UPL office in a professional manner

Manage office vendors effectively including vendor review, contract terms negotiation, vendor selection and management

Monthly office expenses payments

Ensure term of trades with suppliers are adhered to and payments are made on time

Organize travels, meetings and conferences, both for customers and company staff

Secretarial functions including letters, minutes, powerpoints and reports as required

Assist to organize and manage overseas and local visitors, where necessary

Oversee and manage filings. Establish new systems as appropriate

Continuously suggest to management better methods, ideas, layouts, systems, etc. that benefit the company

Provide supports to sales & marketing campaigns in preparing, printing and distributing of supporting materials

Assist the Directors and management as required

Human Resources duties

Manage and administer 3rd party contract staff employment in a compliance and efficient manner: hiring & onboarding, monthly payroll, offboarding

Maintain and keep employee records and documents (hard copy and soft copy)

Administer employee benefits such as provident funds, leaves, medical, insurance, phones, etc.

Proactively assist in, where necessary, preparing and submission of HR/ Labor reports to relevant Authorities in accordance with the local laws.

Organize company staff engagement activities as required

Assist the managers in onboarding new employees. Ensure all tools for new employees are in place on/before day 1.

Assist in monthly payroll processing

Provide personnel reports as required

Support the country leadership team to cultivate the ‘safety culture’

Coordinate with group IT for IT related arrangements

Assist in resolving queries that the employees may have

REQUIRED EDUCATION AND EXPERIENCE:

5 – 7 years’ experience in similar roles

Bachelor of Business Administration/ Economics or equivalent

Excellent communications, organizing and priority managing skills.

Analytical and rational thinking

Ability to be multi-tasks. Strong commitment to quality and continuous improvement practices

Result oriented, strong attention to data accuracy and consistency

Demonstrated discretion and ability to work with confidential information required.

A strong team player, proactive and can-do attitude with proven ability to implement solutions to problems

Able to work under pressure and to tight deadlines
