Job Summary
The Administrative Coordinator for the SWAN Program provides high-level administrative, operational, and technical support across academic, financial, and production areas. The role is central to organizing and executing program activities with accuracy, consistency, and professionalism. The ideal candidate will demonstrate initiative, discretion, and the ability to manage multiple priorities in a creative academic setting.
Job Duties
Duties & Responsibilities:
Administrative Support & Office Management
Maintain calendars, coordinate meetings, and manage communications on behalf of program leadership
Organize internal documents using approved university systems (e.g., Google Drive, shared network folders)
Prepare and edit correspondence, agendas, and program materials
Serve as the point of contact for internal and external inquiries related to program operations
Vendor & Financial Coordination
Coordinate vendor onboarding, including secure submission of W-9s and registration forms
Submit and track requisitions, quotes, and purchase orders through university systems
Maintain accurate records of financial transactions, correspondence, and receipts
Support communication with procurement and grant offices regarding timelines and documentation
Communicate with vendors, manage scheduling, and send required forms and information packets
Ensure timely collection of documentation and materials from vendors (e.g., bios, invoices, photos)
Assist with space reservations and ensure logistical coordination for vendor-related activities
Program Communication & Reporting
Monitor the program email account ([email protected]) and respond or route messages appropriately
Send reminders and updates to faculty, staff, students, and vendors
Assist with compiling reports, collecting survey data, and maintaining program dashboards
Maintain template messages, flyers, and reusable resources
Requested Minimum Qualifications
Education Required:
High school diploma or GED
Experience Required:
Minimum of 2 years of administrative or clerical experience, preferably in a higher education or office setting
Other Preferences for Consideration
Education Preferred:
Associate’s or Bachelor’s degree in Film, Media, Business Administration, Communications, or a related field
Experience Preferred:
Experience working with procurement systems, project management tools (e.g., Asana), and institutional platforms (e.g., Banner, DocuSign)
Knowledge, Skills & Abilities
Strong organizational and communication skills
Comfort using university systems (Banner, Workday) and platforms like Google Workspace, Asana, and Virtru
Ability to handle sensitive materials with discretion
Familiarity with higher education environments, creative programs, or vendor coordination is preferred
Proficiency in Microsoft Office and/or Google Suite tools
Strong initiative and ability to work independently
