What You’ll Do

Your role as an Office Administrator will be pivotal to our success. You’ll handle a variety of responsibilities, including:

Collaborating with our Marketing Team to coordinate property listing needs.

Preparing and managing new listings, including broker loading and maintaining all required documentation.

Ensuring timely and organized collection of documentation from clients and agents.

Monitoring active listings and pending transactions while providing proactive updates to agents.

Managing client care from the date of sale to completion, including liaising with lawyers, scheduling property revisits, and gathering necessary information.

Compiling and distributing monthly sales reports to agents.

Maintaining and organizing electronic filing systems, databases, and CRM tools, ensuring accuracy and efficiency.

Supporting agents with CRM management and ongoing administrative tasks.

Manage and organize transactions, ensure timely payout, track commissions, etc. 

What We’re Looking For

The ideal candidate is a proactive problem-solver who thrives in a team setting and has a passion for providing exceptional support. To be successful in this role, you should bring:

At least 2 years of real estate office administrative experience.

Confidence in working independently while meeting deadlines and producing quality work.

Proficiency in Microsoft Office, G Suite, and the ability to quickly adapt to new technology.

Exceptional organizational skills and the ability to manage multiple tasks effectively.

Strong communication skills and a knack for anticipating team needs.

Experience with project and process management (an asset but not required).

Work Hours and Location

This is a full-time role based in our Downtown Oakville office, Monday to Friday, 9:00 AM to 5:00 PM.
