MDD is looking for an Office Administrator to serve as an essential supporting function of our two offices in Melville, NY and downtown Manhattan. The ideal candidate will split their time each week between our two New York offices. The Office Administrator will handle general office tasks, support internal teams, ensure smooth office operations, and provide a welcoming environment for employees and clients.
Key Responsibilities
Greet visitors and ensure a professional and friendly atmosphere for all guests
Answer, screen, and forward incoming phone calls to the appropriate individuals in a timely and professional manner
Maintain and order office supplies, including stationery and kitchen essentials
Oversee the office calendar, including conference room reservations, staff time off, and meeting schedules
Maintain office equipment and troubleshoot as needed
Contribute to the preparation of projects, events, and presentations, including logistical coordination and material preparation
Arrange reservations for client meetings, team lunches, and other business-related events
Provide support with the IT department and assist in resolving technical issues
Organize outgoing mail, arrange couriers, and ensure timely delivery of correspondence
Prepare the workspace and equipment for new hires
Coordinate team-building activities, holiday events, and other employee engagement events
Set up quarterly scanning and shredding of old documents and maintain and update digital files on the office server for easy access and organization
Coordinate with property managers to ensure office spaces are well-maintained and address any facility-related issues
Perform other tasks as assigned by management
Qualifications
High school diploma or equivalent is required
At least three years of administrative or clerical experience are required
Excellent verbal and written communication skills
Proficiency in Microsoft Office
Strong organizational skills and attention to detail
Ability to prioritize tasks and function in a high paced environment
Basic understanding of how to operate standard business equipment
Proficient with Microsoft Office Suite
