Job Description:

We are seeking a highly organized and proactive Office Administrator with experience working in embassy or hospitality environments to join our team. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to efficiently coordinate with multiple departments and external agencies.

Key Responsibilities:

Coordination with Various Departments:Act as the primary point of contact for liaising with various government departments including the Department of Economic Development (DED), Ministry of Foreign Affairs (MOFA), Immigration team, and Public Relations Officer (PRO). Ensure timely and accurate communication and compliance with all regulatory requirements.

License Renewal:Manage the renewal process for necessary licenses and permits required for the establishment’s operations. Ensure all documentation is up to date and compliant with relevant regulations.

Bank Account Openings:Facilitate the opening of bank accounts for new employees, ensuring all necessary documentation and procedures are completed in a timely manner. Coordinate with banks and relevant stakeholders to streamline the process.

Administrative Support:Provide general administrative support to the office including handling correspondence, scheduling appointments, maintaining records, and organizing meetings and events as required.

Documentation Management:Maintain accurate records and documentation related to licenses, permits, contracts, and other legal or regulatory requirements. Ensure all documents are properly filed and readily accessible when needed.

Office Operations:Assist in the day-to-day operations of the office, including managing office supplies, coordinating maintenance and repairs, and ensuring a clean and organized workspace.

Requirements:

Bachelor’s degree in Business Administration, Hospitality Management, or related field preferred.

Previous experience working in an embassy or hospitality environment highly desirable.

Familiarity with UAE regulations and procedures related to licensing, immigration, and government processes.

Excellent communication and interpersonal skills, with the ability to interact effectively with stakeholders at all levels.

Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.

Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

Ability to work independently with minimal supervision and as part of a team.

Fluency in English; knowledge of Arabic would be advantageous.

Location: Dubai, UAE

Salary: AED 4,000 – 4,500 per month
