Job Summary
We are seeking a highly organized and motivated Administrative Assistant to join our team. The ideal candidate will be responsible for providing exceptional front desk support and administrative assistance to ensure the smooth operation of our office. This role requires strong customer support skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment.

Responsibilities

Answer phone calls, respond to emails, and greet clients in a welcoming manner
Schedule client appointments and maintain electronic calendars
Assist with intake documentation, billing inquiries, and insurance verification
Input client data into the EHR system and ensure records are updated accurately
Provide administrative support including scanning, faxing, and document preparation
Coordinate with insurance companies and assist in credentialing paperwork
Maintain confidentiality and uphold HIPAA standards at all times

Qualifications

High School Diploma or equivalent required; associate degree preferred
1–2 years of administrative experience in a healthcare or mental health setting
Working knowledge of EHR systems (e.g., SimplePractice, TherapyNotes, etc.)
Familiarity with insurance billing and credentialing is strongly preferred
Strong communication and multitasking skills
Professional, compassionate, and client-focused demeanor
