ABOUT THE JOB

This role will provide high-level administrative and legal support to the district?s legal team. A successful candidate will play a critical role in ensuring the smooth operation of legal services by managing legal documents, tracking cases, coordinating schedules, and assisting with policy development and compliance matters. This position will work closely with attorneys, district leadership, and external counsel to facilitate communication, prepare legal materials, and ensure compliance with state and federal regulations. Requires a strong understanding of legal procedures, education law, and public sector governance, along with the ability to handle sensitive information with discretion.

PRE-EMPLOYMENT REQUIREMENT

The successful new hire or rehired candidate will be responsible to complete and incur the fingerprinting and processing fee of $54.50 through an appropriate fingerprinting vendor and the Colorado Bureau of Investigation, within 48 hours of offer acceptance.

RESPONSIBILITIES

ESSENTIAL DUTIES AND RESPONSIBILITIES

Oversee administrative support for the Legal Services Team, managing the daily logistics of the Legal Services Department while maintaining confidentiality and professionalism.

Maintain the internal database of legal cases by opening new matters, creating files, and assigning cases to the appropriate department member for investigations, arbitrations, and Charges/Complaints filed through the Equal Employment Opportunity Commission (EEOC), the Office of Civil Rights (OCR), and the Colorado Civil Rights Division (CCRD).

Manage the Colorado Open Records Act program by receiving requests, coordinating with internal subject-matter experts for documents and response language, evaluating whether requested materials are subject to any CORA exception, tracking deadlines and obtaining extensions if needed, coordinating email searches with IT, drafting responses, redacting documents, and maintaining the online tracking tool.

Prepare, revise, and distribute districtwide communications, including policy updates, guides, handouts, and monthly leadership memoranda in collaboration with department members and district staff.

Assist in preparing settlement agreements, grievance resolutions, administrative conciliations, and internal Board policy complaints.

Support preparations for hearings, arbitrations, and external discrimination complaints (EEOC, OCR, CCRD) by conducting research and analysis of background information, preparing case materials, drafting correspondence, tracking deadlines, scheduling interviews, organizing exhibits, and maintaining case files.

Conduct legal research on education law, employment law, and school district policies to support attorneys.

Oversee legal document retention in accordance with state and federal regulations.

Monitor legal deadlines and compliance timelines for labor law, special education, and board policies.

Triage walk-ins and phone calls; provide everyday responses to them or refer them to Department handouts and training materials or the appropriate team member.

Serve as notary public.

Perform other duties as assigned.

EXPERIENCE 5 years of experience in office management, including in at least one or more of the following areas: human relations, compliance, labor relations, legal or related field.

EDUCATION & TRAINING Bachelor’s degree preferred. Minimum qualification is an associate’s degree plus relevant experience or specialized advanced courses in business and/or Human Resources plus courses in human relations, labor relations, or paralegal training, equivalent to two years of college.

CERTIFICATES, LICENSES, REGISTRATIONS Valid Colorado Driver’s License. Notary Public, State of Colorado.

KNOWLEDGE, SKILLS AND ABILITIES In-depth knowledge of legal terminology, procedures, and document management. Understanding of legal research methods and resources. Familiarity with education law and Colorado Open Records Act (CORA) and Family Educational Rights and Privacy Act (FERPA) compliance. Knowledge of records retention policies and confidentiality requirements, including attorney-client privilege. Advanced knowledge of Microsoft Office Suite, legal software, and document management systems. Proficiency in legal document formatting, proofreading, and citation guidelines. Strong legal document drafting, editing, and proofing skills for contracts, policies, and memoranda. Skilled in calendar management for legal counsel, coordinating depositions, hearings, and board meetings. Strong ability to handle confidential and sensitive information with discretion. Effective communication skills to interact with board members, administrators, legal counsel, and external agencies. Ability to work independently and prioritize tasks in a fast-paced environment. Ability to anticipate legal team needs and proactively manage workflow.

SPAN OF CONTROL Provide high-level administrative and legal support to executive leadership and legal counsel. Does not have direct supervisory responsibilities but may oversee clerical or administrative support staff, or consultants and vendors, as needed. Exercises significant discretion in handling confidential legal matters, managing workflows, and coordinating legal documentation, ensuring compliance with organizational policies and legal requirements.
