Addison Group is partnering with a well-established healthcare organization that is seeking an Office Administrator to support daily office operations at their Charlotte location. This individual will play a key role in ensuring the office runs smoothly while providing administrative and operational support to internal teams and leadership.
Job Description
Our client is looking for a highly organized Office Administrator who can oversee day-to-day office operations and serve as a central resource for internal staff. This role requires someone who is proactive, detail-oriented, and comfortable managing multiple responsibilities in a professional office environment. The position will support facility coordination, office logistics, and general administrative needs across departments.
Key Responsibilities
- Manage daily office operations to ensure the workplace remains organized, efficient, and well-maintained.
- Coordinate office supply inventory and place orders as needed while maintaining vendor relationships.
- Work with building management on facility-related needs including maintenance requests and office repairs.
- Maintain shared office spaces such as conference rooms and common areas to ensure they are prepared for daily use.
- Provide administrative support including preparing documents, organizing files, and assisting with internal administrative requests.
- Coordinate internal meetings, company events, and catering arrangements.
- Assist leadership with administrative tasks such as expense tracking and other support as needed.
- Serve as a point of contact for internal office coordination and help ensure timely communication across teams.
- Identify opportunities to streamline office processes and improve operational efficiency.
- Support reception coverage when needed, including greeting visitors and assisting with incoming calls.
Qualifications
- 3+ years of experience in office administration, office coordination, or similar administrative roles.
- Experience handling office logistics, vendor coordination, or facilities-related responsibilities is strongly preferred.
- Strong organizational and multitasking skills with the ability to manage competing priorities.
- Proficiency with Microsoft Office tools such as Outlook, Word, and Teams.
- Excellent communication skills with a professional and approachable demeanor.
- Ability to work independently, take initiative, and solve problems effectively.
- High level of attention to detail and ability to handle confidential information appropriately.
- Fully onsite position with a standard schedule of Monday–Friday, 8:00 AM–5:00 PM
