Job DescriptionJob Description:We are looking for a talented and detailed-oriented Office Administrator to support the day-to-day office operations at our Pleasanton, California office. The Office Administrator will drive efficiencies and best practices across the office to enhance the experience of employees, customers, vendors and partners. Responsibilities:

Greet and assist visitors when they arrive at the office.

Manage incoming and outgoing correspondence, including emails, faxes, mail, and packages.

Create documents and maintain databases and send memos and emails.

Collect, file, and organize office documents, such as reports and confidential records.

Maintain public office spaces (conference room, break room, bathrooms, and warehouse) are organized, clean and safe and ensure its appliances are in good working order.

Prepare and schedule company on-site and off-site activities, meetings, and events, after hours.

Manage agendas, travel plans and appointments for upper management.

Make logistical arrangements for meetings or conferences, including booking travel, making reservations, or organizing rentals.

Run errands and make deliveries around the office or to external parties.

Communicates and implements office policies.

Monitor and order inventory for office and break room supplies.

Submit work orders and schedule repairs for general office space and equipment.

Transcribe or taking notes during meetings and writing minutes, memos and/or agendas.

Submit reports and prepare proposals and presentations, as needed.

Assist accounting with various tasks, such as data entry and collections.

Coordinate activities throughout the company to ensure efficiency and maintain compliance with company policy.

Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings etc.)

Requirements and Qualifications :

High school diploma or GED equivalent required.

2+ years working in office admin preferred.

Experience coordinating multiple events simultaneously.

Proficient with Microsoft Office Suite or related software.

Experience using office machinery (fax, printer, copier, phone systems, etc.).

Ability to work and think independently, be ambitious and maintain a high energy level.

Attention to detail to ensure tasks are completed thoroughly and correctly.

Extensive knowledge of office management procedures.

Ability to prioritize and handle multiple tasks. Detailed oriented.

Excellent time management skills with a proven ability to meet deadlines.

Strong interpersonal skills to interact positively with all employees, customers vendors and partners.

Flexibility to help them adjust to new tasks should the company or office need change

Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle vendor contracts, among other tasks.
