The Wine Distributor Office Administrator will be responsible for providing administrative support to the wine distribution company. This includes managing office tasks, assisting with financial tasks, communicating with clients and customers, and ensuring that all office procedures are followed. The ideal candidate will have excellent organizational skills, be detail-oriented, and have a passion for wine.

Collect order information from the sales team to create invoices

Input data into the accounting system to generate invoices

Review and ensure accuracy of invoice details including billing and shipping address, order items, and applicable taxes and discounts

Create and print invoices for delivery drivers.

Create sales sheets for wine & spirits

Schedule and conduct job interviews with potential employees

Monitor customer accounts and follow up on overdue payments

Record payments and update customer accounts accordingly

Keep accurate records of all invoices, payments, and customer information

Communicate with clients and customers regarding orders, delivery schedules, and any inquiries they may have

Provide route schedules to delivery drivers and ensure that deliveries are made on time and in accordance with customer specifications

Assist with maintaining and updating client databases and other business records

Submit cost sheets and new items to corporate accounts for approval

Assist in controlling warehouse inventory accuracy and ensure that the inventory is updated in the system on a regular basis

Help organize and participate in wine tasting events, promotional activities, and other marketing initiatives

Provide general support to the management team as needed

Ensure that the office is clean, organized, and presentable at all times

Other duties as assigned

Qualifications:

High school diploma or equivalent required; Associate’s or Bachelor’s degree in accounting or related field preferred

2+ years of experience in invoicing, billing, or accounting

Proficient in using accounting software, such as QuickBooks

Excellent organizational and time management skills

Strong attention to detail and accuracy

Ability to work independently and as part of a team

Excellent communication and interpersonal skills

Proficient in Microsoft Office Suite

Physical Requirements:

Ability to sit and work at a computer for extended periods of time

Ability to lift up to 20 pounds

Job Type: Full-time

Pay: $50,000.00 – $52,000.00 per year
