Administrative Assistant Position

VIGILANT HOSE COMPANY (VHC)

Emmitsburg / Frederick County, Maryland

GENERAL OVERVIEW

The Vigilant Hose Company (VHC) of Emmitsburg / Frederick County, Maryland (a community-based volunteer Fire, Rescue, EMS Company) is seeking an Administrative Assistant to perform routine to difficult administrative and work functions that require interpretation, judgment and determining appropriate processes to be used. Due to ever-increasing informational requirements of local, state and federal government agencies and related mandated documentation, the VHC membership has determined that this critical administrative support is necessary.

The person selected will handle a variety of administrative and technical documentation departmental assignments. He/she will assemble required documents and information for senior organizational leadership consideration and use. He/she will develop applications for data collection and report generation using spreadsheet and database management software packages.

This is a full-time position.

High school diploma or general education degree (GED); three to five years related experience and/or training in a business, administrative support or related field; or equivalent combination of education and experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, but not limited to:

· Participate in a wide variety of department projects by researching or providing relevant information.

· Handle a variety of routine administrative or technical departmental assignments.

· Develop applications for data collection and report generation using spreadsheet and database management software packages, to include apparatus and facility maintenance records.

· Review existing agency documents and recommend improved policies, practices and procedures.

· Collect and compile information and prepares statistical reports.

· Provide information to the public or directs requests to appropriate agency or public/private sector entity.

· Compose and type letters and memoranda in conformance with policies independently from brief instructions.

· Assist members with scheduling physicals, training registration, programing station messenger and alerting software, program key cards.

· Answer phones and forward messages to appropriate personnel.

· Establish and maintain filing systems and office procedures; keep confidential files.

· Attend evening meetings as required (approximately 1-3 per month)

· Other duties as assigned

QUALIFICATIONS

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to prepare reports and correspondence. Ability to speak effectively before groups of customers, governmental representatives and members of the organization.

REASONING ABILITY

Ability to carry out instructions furnished in written, oral, or diagram form.

PHYSICAL DEMANDS

The ability to lift up to ten pounds. The ability to sit for extended periods. Frequently use hands for typing and manipulating documents. Occasionally stand and walk to retrieve documents and supplies. Possess a Class “D” Driver’s License

WORK ENVIRONMENT

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate. At times, the work environment may occasionally become loud.

Given that this is a new position, and no one has ever been salaried in the VHC’s 140+ year history, this job description provides the general character and scope of duties and responsibilities but does not necessarily describe every expected task likely to evolve over time. The VHC is a Maryland-based IRS 501c3 nonprofit organization comprised of a large voluntary

membership supplemented by salaried Frederick County emergency services and support

personnel. As an independent corporation, the VHC is an Equal Employment Opportunity

The Vigilant Hose Company (volunteer fire, rescue and ambulance department) serves an area of

some 100 square miles in a five-county / two-state region and is headquartered in northern

Frederick County, Maryland, approximately one mile south of the Mason-Dixon Line. The

Vigilant Hose Company (VHC) was officially established in 1884.

Staffed by some 100 active volunteers, the men and women of the VHC along with our career

service colleagues provide 24-hour first-due emergency response to over 6,500 area residents in

just over 1,800 living units. When also counting the several thousand additional students and

visitors to the area yearly, nearly 10,000 persons are served by the VHC.

Additionally, the VHC regularly provides automatic mutual aid responses to thousands more in

surrounding communities. The department operates from 2 physical facilities, 25 West main

Street (operations) and 17701 Creamery Road (fundraising / activities building).

The VHC is one of 27 community-based volunteer fire, rescue, and emergency medical services

organizations serving Frederick County and an integral partner organization of the Frederick

County Division of Fire and Rescue Services. Community requests for assistance for both

emergency and non-emergency responses exceed 1,500 annually, many requiring multiple unit

responses. VHC is indeed privileged to enjoy outstanding support from local citizens and area

businesses alike.

working relationships with all those we serve as well as our neighboring departments plus local,

county, and state governmental entities with missions supportive of community preparedness and

the local fire and emergency services. The VHC also provides an array of non-emergency, life

safety initiatives including public fire and injury prevention services.
