Duties and Responsibilities:
1. Serves as a point of contact for the Liberal Arts & Sciences (LAS) Dean’s office.
2. Processes disbursements, reimbursements, and travel requests.
3. Manages special projects and initiatives.
4. Tracks and creates reports for scheduling, enrollment, retention, persistence, certificates, and degrees.
5. Works with webmaster to request updates for LAS programs and directory.
6. Coordinates management of course scheduling, academic workload equivalencies, department chair calendars, and assessment schedules.
7. Assists with organizing and convening advisory committee meetings and electronic record keeping of advisory committee minutes.
8. Monitors faculty and staff recruitment (advertising, committee progress, documentation).
9. Creates and maintains forms in Kuali Build as needed to promote program effectiveness and efficiency.
10. Pulls grant data for analysis and reporting.
11. Assists with internal and external communications.
12. Coordinates events relevant to the LAS dean’s office and departments.
13. Coordinates meetings.
14. Maintains listserv members.
15. Organizes, plans, coordinates, and implements tasks that may require original thought and foresight.
16. Creates and manages requisitions and purchase orders.
17. Prepares requisitions and requests for quotations in accordance with applicable laws, policies, procedures, rules, and regulations.
18. Purchases supplies and equipment.
19. Reconciles purchasing card reports in SAP Concur System.
20. Assists with the management of internal accounting and fiscal records for general funds, special funds, external funds, and University of Hawai’i Foundation funds.
21. Contributes innovative analyses, concepts, designs, and techniques to administrative processes.
22. Applies new and improved techniques and strategies to tasks as approved by the Dean.
23. Applies or adapts {with approval} standard policies, principles, regulations, and currently accepted methods and practices.
24. Other duties as assigned.
Minimum Qualifications:
1. Possession of a bachelor’s degree and (1) year of progressively responsible professional experience with responsibilities for office or project management; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills, and abilities required.
2. Demonstrated ability to recognize and resolve the full range of problems that may commonly arise in administrative support areas.
3. Demonstrated ability to understand oral instructions and written documentation, write reports and procedures, communicate effectively and appropriately in a variety of situations.
4. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
5. Demonstrated ability to effectively manage and organize electronic files, and use advanced features in word processing, spreadsheets, and presentation software.
6. Demonstrated ability to plan, organize, direct. and improve the administrative aspects of an active office.
7. Ability to manage multiple tasks from onset to completion.
8. Evidence of being highly organized; able to work under pressure with frequent interruptions; and flexible with competing priorities.
Desirable Qualifications:
1. Experience working at a community college or university.
2. Experience using advanced features of Microsoft Office Excel, Word, and PowerPoint and Google Workspace applications.
3. Functional knowledge of University of Hawai’i processes and systems (i.e.: Banner, STAR, Kuali Financial System {KFS), and eTravel, SAP Concur).
4. Understanding of FERPA requirements and appropriate handling of personally identifiable information.
5. Ability to manage budgets from multiple sources of funding (e.g.: general funds, grants, University of Hawai’i Foundation).
