Job Description:
LMI is seeking a proactive, detail-oriented Administrative Assistant to support the daily operations of our design firm. This role is essential to keeping our office running smoothly and our team organized and efficient. You’ll manage office maintenance, assist with scheduling and coordination, maintain project management systems, and handle a variety of administrative tasks.The ideal candidate is highly organized, reliable, and comfortable juggling multiple responsibilities in a fast-paced environment. Overview of Roles and Responsibilities:
Office Maintenance
Maintain office supply inventory, including kitchen, printer, cleaning, and bathroom essentials; reorder as needed
Retrieve, sort, and distribute daily mail
Perform light daily cleaning, such as tidying the front room before client meetings and restocking supplies throughout the office
Maintain the office library, including filing books, samples, and keeping the office neat
Weekly Statusing System Updates
On a weekly basis, refresh and update the data in our statusing system to ensure accurate and current statusing for all projects
Scheduling Coordination
Manage Lesly and the team’s calendars
Schedule and confirm client and vendor meetings (including sending Zoom links)
Make adjustments to the schedule as necessary
Design Manager Support
Input into Design Manager receiving, inspecting, storage, delivery, and other miscellaneous charges
Damage Claims Coordination
Manage all product damages, including sending details and photos to the vendor
Follow up promptly and consistently until the issue is fully resolved
Qualifications
1–3 years of experience in an administrative, office coordination, or support role (experience in a design or creative firm is a plus)
Exceptional organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment
Strong attention to detail and a proactive approach to problem-solving
Proficiency with scheduling tools (e.g., Google Calendar, Outlook) and virtual meeting platforms (e.g., Zoom)
Comfort with technology and office software, including Google Drive, Outlook, Zoom, etc.
Excellent communication skills—both written and verbal
Job Type: Full-time
Pay: From $42,500.00 per year
Schedule:
8 hour shift
Monday to Friday
