Position:
The primary responsibilities of this position include providing general administrative support to four RAM Managing Directors and assisting with general office management duties. This role requires a proactive, detail and solutions-oriented, and highly organized individual who displays excellent project management and communication skills. Daily tasks include, but are not limited to, maintaining and optimizing daily calendars, making travel arrangements, maintaining all forms of correspondence, coordinating meetings and required preparation, interfacing with different departments and employees across the organization, producing and handling highly confidential information, and liaising with members of the executive office, management, clients, prospects, candidates, and vendors on various projects and/or meetings
Responsibilities:
Effectively manage and coordinate calendars and related communication, acting as a gatekeeper where necessary.
Arrange and confirm meetings, including preparing and distributing materials, scheduling key staff, registering visitors, reserving and preparing conference rooms, and ordering catering.
Coordinate all aspects of travel, including booking flights, accommodations, and transportation, shipping meeting materials, preparing detailed itineraries, and calendarizing appropriately.
Complete expense reports in a timely manner, adhering to documentation requirements and best practices.
Organize and maintain files, both physical and digital, ensuring easy access and retrieval of working documents, using available technology where available to improve processes.
Assist in signing documents on behalf of management, ensuring all necessary approvals are obtained.
Maintain and update contact databases.
Assist in resolving basic technology issues, becoming familiar with systems and processes and liaising with IT support where needed.
Provide office management support in an office of approximately 70 employees, including ordering supplies, liaising with building staff, maintaining kitchen area, managing deliveries and mail, resolving technology malfunctions, and coordinating with vendors as needed.
Special projects and other duties, as assigned.
Qualifications:
High school diploma required, bachelor’s degree a plus.
2-5 years minimum of administrative support experience, or experience in financial services.
Available to respond to urgent requests outside of working hours.
Skills:
Strong Microsoft Office skills, particularly Outlook, Teams, Word, Excel, and PowerPoint.
Experience with Concur, Adobe, Docusign, Sharepoint, and OneDrive a plus.
Strong communication skills, and ability to work both independently and collaboratively with a team.
Ability to multi-task and continuously prioritize workload
Maintains composure and a steady demeanor in a fast-paced, deadline driven environment.
Extremely reliable character with demonstrated ability to handle sensitive information with complete discretion.
Accurate and timely follow-up and responsiveness.
Collaborative team-player who can adapt to the needs of a rapidly growing business.
Effective decision making and problem-solving skills with ability to gather relevant information, consider multiple viewpoints, seek required approvals, and execute the best course of action.
Intellectual curiosity about AI a plus.
Compensation Range:
The anticipated base salary range for this role is $80,000 to $90,000. Base salary for the role will depend on several factors, including a candidate’s qualifications, skills, competencies, and experience, and may fall outside of the range shown. In addition, this role may be eligible for a discretionary bonus.
