Job description

Cancer charity MDS UK is seeking a full-time, experienced Office Administrator, based partly at Kings College Hospital in London (SE5) and partly at home. The successful person will join a small but dedicated team of staff, trustees and volunteers to deliver first-class support services to patients with rare forms of blood cancer, as well as their families and caregivers.

MDS stands for Myelodysplastic Syndrome, a rare form of cancer which affects the bone marrow and production of blood cells. Severity of symptoms vary from patient to patient, but usually include extreme fatigue, a compromised immune system and difficulty in blood clotting. The successful candidate will be confident and self-motivated, fully conversant with MS Office 365, experienced in working on Teams and using virtual meeting platforms such as Zoom.

Essential Skills:
Proven competencies in

All MS Office 365 applications (Excel, Word, PowerPoint, Outlook)

Shared content and file management (SharePoint)

remote working platforms (including Teams and Zoom)

Excellent written and verbal communication skills

Self-motivated, but comfortable working as part of a small team

Organised and flexible.

Understanding of data protection/GDPR rules

Preferred but not essential:
Experience of the charity sector and/or NHS trusts

Knowledge of mailing and survey platforms (eg. Mailchimp, Survey Monkey)

Main duties:
Mostly, but not restricted to:
File management (currently via SharePoint)

Stock management (merchandise, promotional materials, information leaflets, stationery)

Sending out membership packs, new patient information and literature

Administration of virtual patient meetings via Zoom, staff meetings via Teams

Supporting the fundraising function

Liaising with Trustees and committee members

Meetings administration, including minute-taking if required

Assisting CEO with producing reports/ presentations for meetings

Any other reasonable duties required to support the charity’s strategic aims

Reports to: CEO/Trustees in CEO absence

Liaises with: Membership Officer, Fundraising Officer, Volunteer Ambassadors.

Location:
The charity currently occupies office/storage facilities within the Bessemer Wing (Haematology) at Kings College Hospital in South-East London, within a few minutes walk of Denmark Hill station and approximately ten minutes walk from Loughborough Junction station. The hospital has restaurant and shopping facilities on site, and is within a busy residential and commercial area with excellent links to other areas of London.

The charity operates hybrid working, the expectation for this role is that approximately half of the working hours will be office-based although this may vary on a week-by-week basis, according to the needs of the business. Support will be given to the right candidate to establish home-working facilities, although the role can be fully office-based if preferred.
