Are you looking for an exciting opportunity to bring your unique personality and skills to a dynamic and growing company? Based in Milngavie, near Glasgow, our client is on the lookout for an experienced, motivated, and friendly office-based Administrator to become part of our vibrant team.
About the Role:
As our Office Administrator, you’ll work from our offices based in Milngavie. You will report to our Head of Finance and provide administration support primarily to the finance team and Directors but also to the other teams in the business. You will play a key role in day-to-day processes and the smooth running of our office. This role offers tremendous variety and the chance to make a significant impact in a fast-paced, friendly environment.
Key Responsibilities:
Daily management of incoming mail via post / email.
Monitoring of employee training records and ensuring company policies are up to date and signed by staff.
Maintenance of records within ERP system, ensuring correct details/formats of products.
Ensure accurate recording and receipt of all customs documents.
Signing and returning of all export declarations to suppliers.
Checking and recording of all incoming documents from suppliers/hauliers.
Ensuring accurate and complete customer records are held across multiple systems, including credit limits and relevant documents.
Processing of supplier invoices, matching against relevant POs and dealing with any discrepancies.
Supporting sales teams with distributing necessary documents/information to customers.
Recording of any stock damages and monitoring status of NCR to conclusion.
Assist with marketing, booking Trade Shows, arranging events and guest lists.
Ensuring office equipment/consumables are fully stocked and available when required, liaising with Purchasing manager to reorder in a timely manner.
Maintain accurate company records, planning and notifying teams of upcoming inspections, i.e. PAT, Loler inspection, Fire and Intruder Alarm inspections.
Arranging travel and accommodation for employees as required.
Arranging ad-hoc services when required, e.g. shredding of confidential documents / IT disposal.
Weekly Maintenance of company Intranet / Diaries.
