Physical Location: The Big House, 25 E. Coffee Street, Hazlehurst
Position Description: The Administrative Coordinator is responsible for providing direct secretarial support to the Executive Director, assisting with financial operations, assisting other team members with administrative functions, and serves to ensure the office environment runs smoothly.
Supervision: The administrative coordinator will report to the director of the Joint Development Authority.
Sponsorship: Must be authorized to work in the U.S. Sponsorship is not available for this position.
Classification: Hourly; 12-month Permanent; Overtime Eligible
Hours per week: 32 (negotiable)
Education Required: Required; High School Diploma or equivalent. Preferred; Associates in Accounting, Finance, or related field is desired.
Job Duties and Functions:
Process accounts receivable;
Process accounts payable;
Create and process letters, forms, reports, memos, etc. from a variety of sources;
Proofread materials;
Prepare materials for the JDA Director;
Serve as the Open Records Custodian for the JDA and Board of Tourism by processing and preparing responses to open record requests;
Create copies, cut materials, shred sensitive documents, fold papers;
In collaboration with the Director, create a monthly reports on operations and economic/tourism outlook;
Maintain office filing system (including electronic files), destroy documents in accordance with record retention policies and schedules;
Record minutes of all regular sessions and committee meetings of the JDA, Board of Tourism, Chamber of Commerce, and Foundation;
Assist in processing financial transactions;
Create invoices and bills to be sent to clientele;
Serve walk-in clientele when reception is unavailable;
Answers phone calls and transfer calls as needed;
Place orders for materials needed at the Big House;
Work with technology partners to maintain the jeffdavishazlehurst.com website;
Maintain an office calendar;
Assist the staff with event and meeting planning logistics and financials;
Work with IT professionals to maintain office equipment and software; and
All other duties as assigned.

Compensation: $15.42/hr with limited experience and up to $22.60/hr with extensive experience
Work Schedule: Exact work schedule is flexible with approval of Director. Some work outside of the normal workday due to meetings and events – estimated 5-7% of time.
Minimum Qualifications:
Two years experience in a similar role;
High School diploma or equivalent;
Demonstrated ability to use Microsoft 365 tools and apps;
Great computer and technology skills;
Ability to perform simple and complex mathematical functions;
Strong interpersonal skills and excellent verbal communication skills;
Excellent written communication skills;
Desire to learn and a go-getter; and
Must be able to pass a background check.
Preferred Qualifications:
Associate degree or higher in accounting/finance, business administration, or other related field;
Five or more years of relevant work experience;
Experience with industry and/or small business;
Conversational speaking level of Spanish; and
Experience using Intuit QuickBooks.
