Job Description
We are looking for an Administrative Assistant to provide professional support and ensure smooth operations within our client’s team. This position will be Full-Time, short-term contract and Onsite . The schedule will be Monday through Friday; 8 am to 4:30 pm with a 1/2 hour lunch.
What You’ll Do
Welcome visitors to the site and coordinate with their primary contacts
Coordinate scheduling of meetings, calls, etc
Arrange for lunches or other meals for visitors and/or special occasions
Perform basic data entry for various tasks
Provide professional administrative and clerical support to relieve department managers or staff of administrative details in a department or functional area within the company
Ensure that departmental operations comply with organizational policies and procedures
Schedule meetings and related requirements for departmental staff, including reserving conference rooms, catering, and A/V equipment if necessary
Operate automated office equipment
Research, compile, and proof documents and prepare reports and presentations, often of a complex or confidential nature
Respond to general departmental or functional inquiries; review drafts and finished internal/external communications documents
Provide departmental reception services, receiving and directing visitors or calls, maintenance of department office supplies and incoming/outgoing mail
Participate in and contribute to special projects as directed by the department head
What You’ll Need
Required:
Applies basic job skills and knowledge, typically acquired through limited relevant work experience (1+ years)
Completion of high school diploma or equivalent
Excellent organizational and communication skills
Preferred:
Some related vocational training
Physical Demands
Ability to safely and successfully perform the essential job functions consistent with the ADA and other federal, state, and local standards.
Ability to conduct repetitive tasks on a computer, utilizing a mouse, keyboard, and monitor.
Must be able to communicate with customers/team members over the phone and in person.
Sedentary work that involves sitting or remaining stationary most of the time with occasional need to move around the office to attend meetings, etc.
