Job Summary

We are seeking a highly organized and detail-oriented Office Administrator to join our team in Auburn, WA. The ideal candidate will be responsible for assisting daily office operations and ensuring efficient workflow. This role requires strong leadership and communication skills, proficiency in office management, and the ability to handle scheduling tasks effectively.

Essential Duties

Assist day-to-day office operations, ensuring a smooth, efficient, and professional work environment.

Implement policies and procedures to ensure adequate and appropriate care and services are being provided to clients.

Establish and maintain effective channels of written and verbal communication with the agency’s owners to ensure that operations are being executed in accordance with the organization’s policies and objectives.

Coordinate office activities, including greeting visitors and managing incoming calls.

Support human resources functions, including recruitment, on-boarding, and employee relations.

Maintain organized filing systems for documents and records to ensure easy access.

Implement office policies and procedures to improve efficiency and productivity.

Office Responsibilities

Handle incoming calls and inquiries with professional and effective communications for a timely implementation of client service requests or resolution of client concerns.

Produce client welcome packets, prospective client packets, referral source packets, new hire packets, client and caregiver birthday cards, and thank you notes.

Quickly and appropriately resolve scheduling conflicts, emergencies, and staff call out situations to uphold company commitment for client services.

Support and maintain positive and professional relations with all clients, staff, and vendors.

Required Knowledge, Skills, And Abilities

Proven experience in office management or administrative roles.

Strong organizational skills with the ability to prioritize tasks effectively.

Excellent communication skills, both verbal and written.

Proficiency in Outlook email, Microsoft Office Suite (Word, Excel, PowerPoint), and other relevant software applications.

Ability to work collaboratively as part of a team while also being self-motivated.

Ability to maintain confidentiality with sound decision-making skills based on company policies and philosophy.

Job Type: Full-Time/Part-Time

Pay: $19.00 – $21.00 per hour

Expected hours: 20-40 per week
