Job Summary:

Reporting directly to the Executive Director. The Administrative Assistant (“Assistant”) is responsible for providing all aspects of administrative support to the Board, management, and the Funds’ staff. The Assistant will have overall responsibility in performing diversified and confidential administrative and support duties, along with handling a wide variety of inquiries from various senior and executive-level professionals.

Principal Duties:

1. Sets-up meetings/rooms for the Trustees and the Funds, manages the agenda and coordinates with external consultants. Creates Trustee meeting books, assists with drafting meeting minutes, and coordinates meeting arrangements and travel requests.

2. Maintains personnel records.

3. Tracks and facilitates the appeals process. Prepares and distributes resolution letters post Trustee meeting.

4. Prepares and maintains Fund Office attendance reporting statistics (e.g., lates, LWOP, and unexcused absences, etc.) recordkeeping for bargained employees to ensure compliance with CBA.

5. Prepare letters and print envelopes, as requested.

6. Organizes and purges Fund Office files.

7. Processes incoming mail and faxes.

8. Maintains inventory of kitchen and office supplies. Stocks and maintains breakroom. Orders supplies, as necessary.

9. Make calls relating to building maintenance issues, maintenance for copy machines and other office equipment.

10. As assigned, participates in special assignments and project work.

11. Perform other duties as assigned.

Candidate Requirements:

High school graduate; bachelor’s degree a plus. At least two (2) years of relevant administrative experience is required. Prior experience in Taft-Hartley or collectively bargained setting is a plus.

Candidate Preferences:

Solid grammatical, communication and organizational skills are required. The ideal candidate must be detail orientated, able to maintain confidentiality of information at all times, have strong decision-making abilities, sound judgment and be able to multi-task and prioritize effectively in order to meet deadlines.

Candidate Expectations:

Intermediate proficiency with current technologies, specifically MS Office suite, is required. Some knowledge of computers and basic office equipment is a plus.

Job Type: Full-time

Pay: $40,000.00 – $50,000.00 per year
